Position: Customer Care Coordinator

Job Purpose: As a Customer Care Coordinator, you will play a pivotal role in delivering exceptional customer service, ensuring that our clients’ needs are met with efficiency and professionalism. Your efforts will directly impact the customer experience and help us maintain our industry-leading status.

Key Responsibilities:

  • Manage incoming calls and inquiries with professionalism.
  • Process new orders quickly and accurately.
  • Schedule evaluations and coordinate equipment adjustments with clients and referrals.
  • Handle order documentation, including Functional Mobility Evaluations and Letters of Medical Necessity.
  • Keep the team informed about order processing status.
  • Track equipment deliveries to ensure timely arrival.
  • Communicate with clients regarding insurance coverage, deductibles, and payment responsibilities.
  • Conduct equipment research using vendor websites.
  • Process payments for out-of-pocket expenses and reconcile deliveries for billing.
  • Maintain comprehensive records of doctor and therapist contacts.
  • Perform other related duties as needed.

Required Qualifications, Skills, and Experience:

  • Education: High School diploma/GED required; Associate's degree preferred.
  • Experience: Minimum of three years in a fast-paced office environment preferred.
  • Customer Focus: Strong commitment to positive customer interactions.
  • Technical Skills: Proficiency in Microsoft Office Suite and familiarity with technologies that enhance efficiency.
  • Communication Skills: Excellent written and verbal communication, organizational skills, and ability to prioritize tasks effectively.
