Position Summary:
We have an exciting opportunity to join our team as a Secretary to Chairman, Department of Neurosurgery.

In this role, the successful candidate diversified secretarial duties necessary to maintain and support the department Manages and coordinates administrative support for the Chairman and the Department. Duties may include scheduling appointments, compiling records, reports, and correspondences. Assists with the organization, maintenance, and flow of information throughout the department. May coordinate Continuing Medical Education Program and Medical Staff Credentialing Process in the Department.

Job Responsibilities:

  • Performs other duties as assigned
  • Provides administrative assistance to the Chairman and department.
  • Acts as liaison between the Chairman and Administration Faculty, medical and resident staff. Interacts with administration, faculty, medical staff, and residents on regular basis regarding departmental administrative and clinical issues. Identify and assess issues that arise, investigates and addresses andor directs inquiries as appropriate. Intermediary between Chairman and above. Liaison with secretarial staff regarding departmental and administrative issues.
  • Types and maintains correspondences that are required. Types dictation of patient consultation and follow-up letters. Prepares QI meeting materials including statistics, handouts, etc. Takes and types minutes of meetings
  • Provides Administrative Support to Administrative Director, Assistant Vice Chairman, and Vice Chairman of the Department. Assists in all related secretarial requests and on-going projects. Schedules meetings, photocopying, phone calls, correspondence.
  • Coordinates the Departmental Annual Functions. Plans and coordinates all aspects of major department functions.

 

Additional Position Specific Responsibilities:
Plans conferences, maintains schedule of calendar, reads and answers correspondence, develops documents for presentation or meeting, maintains records of all documentation.
Makes complex scheduling arrangements involving multiple parties and conferences under minimum direction. Organizes interview schedules, travel logistics, and itineraries for perspective faculty recruits. Processes reimbursement of related expenses.
Coordinates, prepares agenda, and takes minutes for monthly meetings. Prepares reimbursements and submits expenses for Chair. Tracks and maintains records of reimbursements.

Minimum Qualifications:
To qualify, you must have a High School or GED. 3- 5 years Secretarial experience in Academic/Healthcare Administration or related experience. 3 -5 years prior experience in a medical setting. Strong communication (both oral and written), multitasking, detail oriented, organizational, customer service, and interpersonal skills. Proficient in Microsoft Office ( Excel, Word, and Outlook ). Knowledge of office procedures.

Preferred Qualifications:
Associate's Degree In any field. Knowledge of medical terminology.

Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $70,328.31 - $76,769.91 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
