Position Summary:
We have an exciting opportunity to join our team as a Project Assistant.

In this role, the successful candidate Provides support to operations managers, project managers with document filing and field work as needed. This position requires preparing and reviewing documents, and generates status/progress reports for ongoing and pending jobs/projects which may include moderate analysis of findings.

Job Responsibilities:

  • Performs other duties as assigned.
  • Word Processing/Typing Prepares and proofreads memos, reports and applications. Independently prepares responses to routine correspondence. Develops documents for presentation or meeting.
  • Project Support Providesproject/programsupport to asupervisor,department, ororganizational unit inthe preparation ofproject relevantmaterials; assistingwith project datacollection activities tomaintain and improvethe effectiveness of thework flow and ensurecustomer satisfaction.
  • Receives,processes,and tracks summonsesand subpoenas onbehalf of Office ofLegal Counsel;Compiles and preparesroutine factual formsand reports based oninformation readilyavailable, verifyinformation,determines reportformat, identifiesdiscrepancies andmake corrections.Research problems,issues and concernsand responds torequests forinformation andsummarizes databased on informationcompiled from varioussources
  • Moderate ClericalFunctions Completespetty cash vouchersand obtain necessarysignatures, obtainpetty cash, preparespayments and checkrequests for paymentsto vendors as needed.
  • Scheduling and Coordinating Maintains routine calendar, schedules appointments, assist in preparing for conferences (checking the logistics and technical support, ordering and setting up food, etc.) and other related duties. May assists with special events planning.
  • Filing and Mail Distribution - Maintains office filing and storage systems by sorting, recording and filing written material in alphabetical, numerical, or subject order as needed. Retrieves material from files upon request and keeps records of the movement of file materials. Opens, sorts, routes and distributes mail to the appropriate party. Screen mail to determine which letters can be answered independtly.
  • Clerical Support - Makes and provides clerical support to the department/unit (photocopy, fax, mails, and files, data entry, sorts and distributes mail, ect.) and other related duties as needed. May order office supplies. Meets and greets clients; Resolves non-routine situations based on established policies and procedures and refers non solved issues and questions to the appropriate party.

 

Minimum Qualifications:
To qualify you must have a Associate degree with 1 years experience.
Knowledge of computer systems, Microsoft processing and Excel is essential. Excellent interpersonal and communications skills required.
Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Familiar with Internet applications, effective oral and written communication and interpersonal skills

Preferred Qualifications:
Ability to interpret and apply policies and procedures within limits of authority; Ability to learn and adapt to new technology relating to office practices and procedures.
Able to maintain confidentiality of information; pay attention to detail and work effectively despite interruptions; demonstrate ability to plan, organize, and prioritize work, and demonstrate excellent organizational skills.

Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $20.00 - $28.00 Hourly. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
