Position Summary:
We have an exciting opportunity to join our team as a Executive Assistant to Vice President (Decision Support, Strategy & Value Improvement Team and Gover.

In this role, the successful candidate in the Decision Support, Strategy & Value Improvement Team and Government Reimbursement is reporting to the Vice President of DSS & GOV, the Executive Assistant will be responsible for providing high-level administrative and operational support to ensure the department functions smoothly and efficiently. This role will contribute to the success of department initiatives by managing day-to-day operations, supporting key projects, and continuously identifying opportunities to enhance team effectiveness ultimately to drive value across all sites of the health system. The ideal candidate is proactive, organized, detail-oriented, and adept at managing multiple priorities in a dynamic environment, ensuring deadlines and deliverables are consistently met.

The Decision Support, Strategy & Value Improvement Team and Government Reimbursement (DSS & GOV) team is an integral team at NYU Langone Health in their role of driving value across the organization. The team collaborates closely with clinical, operational, and cross-functional partners across the enterprise to deliver insightful, data-driven analyses that guide strategic and financial decisions. Through comprehensive analytical services, cost accounting, and benchmarking, the DSS & GOV team identifies opportunities for improvement and works with stakeholders to implement sustainable solutions that enhance organizational performance. The department includes 27+ team members, 5 clinical leads, and a dedicated IT group.

Job Responsibilities:

Position Responsibilities
Executive & Administrative Support
Provide comprehensive, executive-level administrative support to the Vice President of DSS & GOV and the broader team, including, but not limited to:
o Complex calendar management and daily scheduling of meetings.
o Reserving conference rooms and desks, ensuring necessary technology and resources are arranged
o Preparing and organizing meeting materials, agendas, meeting minutes and other deliverables
o Coordinate travel arrangements, process expense reports, and manage reimbursements
o Manage phone calls and emails, and draft responses or route items as appropriate.
Maintain confidentiality in handling sensitive and proprietary information.
Provide administrative and calendar support to the teams clinical lead(s) as required.
 

Office & Operations Management
Oversee day-to-day department operations, including facilities requests, office space planning, budgeting, equipment maintenance, and supply management.
Develop and implement office policies, procedures, and standards to promote efficiency and compliance with organizational guidelines.
Serve as the primary liaison for all IT-related requests and issues within the team.
Coordinate recruitment and onboarding for new team members to ensure a smooth integration process.
Review and approve payroll biweekly; manage scheduling, timesheets, and time-off tracking for the team.
Monitor the departments annual budget, process payments and reimbursements, and ensure spending aligns with approved allocations.
Maintain departmental databases and contacts lists; ensure data accuracy to support reporting and compliance requirements.
Collect and analyze administrative data (e.g. supplies, budget, payroll, etc.) to identify trends and recommend process improvements.

Communication & Stakeholder Engagement
Serve as the primary point of contact for internal and external stakeholders on administrative matters.
Coordinate and facilitate meetings, conferences, and team engagement events (e.g. retreats, holiday celebrations, special events, etc.)
Communicate updates and escalate issues effectively, applying sound judgement and risk mitigation strategies.
Uphold a high level of professionalism and discretion in all interactions with executive leadership and staff.
Perform other duties as assigned to support departmental and organizational goals. 

 

Minimum Qualifications:
To qualify you must have a Bachelor's Degree required with 2 years of relevant experience, or the equivalent combination of education and experience. The successful candidate must also possess excellent interpersonal, verbal and written communication, and organizational skills. Knowledge of standard office software is essential, including proficiency with word-processing, spreadsheet and database software (e.g., Microsoft Office, preferred). Ability to multi-task and/or coordinate multiple assignments is required. Ability to interpret and implement policies and procedures, and effectively communicate detailed information to a diverse population, both verbally and in writing; excellent problem-solving skills is required.

Minimum Qualifications:
Education: Bachelors Degree required.
Experience: Minimum of three (3) years of experience as an executive assistant, project coordinator/manager, or similar administrative support role, or an equivalent combination of education and experience.
Communication: Exceptional verbal and written communication skills with the ability to convey information clearly and professionally, even in ambiguous situations.
Interpersonal Skills: Proven ability to build strong relationships and collaborate effectively across all levels of the organization.
Organizational & Planning: Demonstrated excellence in organization, attention to detail, and managing multiple priorities and deadlines.
Initiative & Problem Solving: Proactive self-starter with strong critical thinking and decision-making abilities.
Time-Management: Proven ability to balance competing priorities efficiently in a fast-paced environment.
Technical Proficiency: Proficient in Microsoft Office Suite, including Outlook, Word, and PowerPoint.
Preferred Qualifications:
3-5 years of experience
Experience working in healthcare, finance, or a related field.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $70,481.61 - $121,580.64 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
