Position Summary:

We have an exciting opportunity to join our team as a Executive Assistant to Chair - Manhattan, Radiology. 

In this role, the successful candidate is responsible for providing complex daily administrative support (coordinates and directs office services, preparing reports, preparing budget, maintaining schedule of calendar, interpreting administrative and operating policies and procedures for employees. Analyzes administrative operating practices, makes judgment about or assessing the value, importance, and quality of customer services and administrative procedures to create new or to revise existing methods, provides consultation and advice to management, coordinates hiring process and Human Resources related paperwork as needed, etc.), and other related duties to the Chair. Interprets and may diplomatically advises on office related policies and procedures. Communicates with high level internal and external executives by phone or in person. Works under general supervision.

Job Responsibilities:

Executive & Strategic Support

  • Provide high-level administrative and operational support to the Chair and Vice Chairs, as well as other senior departmental leaders, in alignment with responsibilities delegated by the Chair.
  • Manage complex and dynamic calendars for the Chair and assigned Vice Chairs, including prioritization of meetings, strategic commitments, and competing institutional obligations.
  • Prepare executive correspondence, reports, briefing materials, and travel itineraries for business meetings and external engagements.
  • Represent the Chair and Vice Chairs in communications and interactions as appropriate, exercising diplomacy, discretion, and sound judgment.

Special Projects & Ad Hoc Initiatives

  • Support special projects and ad hoc assignments as directed by the Chair and Vice Chairs.
  • Track milestones, deliverables, and timelines across leadership initiatives to ensure successful and timely completion.

Problem Solving

  • Anticipate operational challenges and proactively recommend solutions to senior leadership.
  • Escalate matters appropriately while maintaining confidentiality and professionalism.

Office & Administrative Oversight

  • Coordinate meetings and conferences on behalf of the Chair and Vice Chairs.
  • Manage domestic and international travel arrangements and detailed itineraries.

Communication & Public Contact

  • Communicate with high-level internal and external stakeholdersincluding institutional leadership, faculty, industry partners, and external collaboratorson behalf of the Chair and Vice Chairs.
  • Prepare, review, and edit correspondence, and official communications for accuracy, clarity, and professionalism.
  • Process outgoing communications including email, letters, and executive-level documentation.
  • Provide consultation and guidance on administrative policies, procedures, and institutional protocols to leadership and faculty.

Reporting & Documentation

  • Maintain highly confidential records, files, and documentation for the Chair and Vice Chairs.
  • Ensure compliance with organizational formatting, branding, and documentation standards.
  • Support preparation of reports, dashboards, and leadership materials for executive review.

Additional Responsibilities

  • Perform other duties as assigned in support of departmental leadership.
  • Order office supplies and manage related administrative logistics as needed.
  • Provide ongoing training, mentorship, and oversight to clerical and administrative staff to ensure consistency and high performance across leadership support functions.

Minimum Qualifications:

  • Bachelor's Degree in a related field, required.
  • Minimum of 5 years of progressively administrative experience or an equivalent combination of education and experience, required.
  • Effective oral, written skills including knowledge of grammar, spelling and punctuation, tact, diplomacy and interpersonal skills.
  • Time management skills and be able to work well under pressure.
  • Maintain a professional and positive attitude while effectively meeting deadlines.
  • Proficiency in using various Microsoft Office applications such as Word, Excel, Access, Power Point and Outlook.
  • Familiar with Internet applications.
  • Good organizational skills, with the ability to handle variety of projects simultaneously and prioritize effectively while paying attention to details.
  • Ability to multitask and project manage.
  • Active Listening, Judgment and Decision-Making skills
  • Ability to interact effectively with all levels of management and must work and communicate effectively with both internal and external customers.
  • Ability to work as part of a team and willing to back up others.
  • Knowledge of modern office standard practices and procedures.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $70,481.60 - $121,580.64 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
