Position Summary:
We have an exciting opportunity to join our team as a Administrative Assistant - Brooklyn.

In this role, the successful candidate Provides administrative support to the Department in general answers phone calls and is point person for internal and external communications performs all clerical duties for the department as well as other assigned duties.

Job Responsibilities:

  • Acts as sites record keeper for petty cash requests and any money transactions that requires Site Director approval.
  • Provide administrative support to Site leadership and staff as needed. Coordinates special projects or duties as assigned by Site Director.
  • Plan, attend and assist in the coordination of meetings, conferences and special events
  • Maintain records of approved CME requests for medical providers and assists with submission of reimbursement.
  • Create and update all provider and staff work schedules for the entire year
  • Order all required administrative and medical related supplies for the site. Initiates Purchasing Orders and coordinates with Purchasing Department on required purchases.
  • Composes correspondence memos and reports as instructed. Type, format proofread and distribute a variety of materials including correspondence memos reports minutes of meetings. Translates documents into Chinese or Spanish.
  • Deals discreetly with confidential information concerning Family Health Centers information contained in minutes letters and other documents.
  • Maintains required site records staff files and other key documents.
  • Initiates Engineering Work Requests and reports site related operational issues to Site Director and/or Engineering Dept.
  • Interacts with interdepartmental personnel throughout the health centers and hospital departments.
  • Serves as sites time keeper and maintains accurate records of all employees work hours vacation hours sick hours, etc
  • Demonstrates an awareness of and respect for coworker/patients cultural background
  • Assesses patients ability to communicate in English and assists in the provision of an interpreter as needed.
  • Incorporates patients cultural background and values in methods of communication and service provision

Minimum Qualifications:

  • To qualify you must have a High School Diploma Required.
  • Minimum Experience/Requirements: 2 + years relevant experience. 
  • Strong oral and written communication skills. 
  • Must have exceptional organizational skills and ability to multi task responsibilities. 
  • Proficient in Excel, Word, Power Point and Outlook.

Preferred Qualifications:

  • Bilingual Spanish or Mandarin/Cantonese highly preferred

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $50,219.83 - $57,500.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
