Position Summary:
We have an exciting opportunity to join our team as a Administrative Coordinator.
In this role, the successful candidate will be responsible for providing daily secretarial and administrative support and other related duties to support the activities of the department. Provides general operational and administrative support for the department, including appropriate functions related to the efficient, professional operation of the office. Works under general supervision.

More details: Coordinates the New Faculty Onboarding Process; Credentials new faculty members at NYU Langone Health, Bellevue Hospital Center, and VA Harbor Healthcare System; sets up enrollment, training, and orders necessary materials.
Oversees the reappointment process for all current faculty members at NYU Langone Health, Bellevue Hospital Center, and VA Harbor Healthcare System by working with each faculty administrative assistants to ensure accurate and timely completion of reappointment process.
Processes payroll, invoices, purchase orders, and reimbursements for payment.
Works with Director to manage and coordinate CME Conferences and special events; including on-site logistics, i.e. food & beverage, AV, conference services, etc.
Manages oncall schedule for NYU Langone Health, Bellevue Hospital Center, and VA Harbor Healthcare System and manages the AMION page for the department.
Additional Position Specific Responsibilities:
Administrative Support - Provides administrative support for an organizational unit or a department to maintain and improve the workflow level and efficiency. Conducts research and provides basic reports of finding and makes preliminary recommendations.
In addition to processing our AP, troubleshoots and implements new systems to solve problems
Scheduling/Coordinating - Manages calendar, makes complex scheduling arrangements involving multiple parties and conferences under minimum direction
Clerical Support - Maintains all office inventories, supplies, equipment services and repairs
Word Processing/Typing - Independently respond to and compose correspondence. Types and proofreads memos and reports. Maintains and disseminates committee minutes; develops documents for presentation or meeting
Reports - Gathers data and information from various sources, prepares reports based on information compiled, determines report format and elements needed, reviews for format, content structure based on knowledge of department specification, research problems, issues and concerns, responds to requests for information, summarizes, and data based on information compiled from various sources
Project Coordination- Provides basic to moderate coordination for Program activities to the departmental administrator that includes but not limited to: coordination of Projects while working/communicating with internal and external parties to organize and coordinate the various components needed to initiate, run and conclude Project activities. Might evaluate and make recommendations based on analyses, observation and or feedback.

Supervises staff including temps and per diems - which includes work allocation, training, promotion and enforcement of internal procedures and controls, and problem resolution.
Provides technical and/or professional coordination in the execution of day-to-day program/project activities, as appropriate to program objectives and area of expertise. Manages and/or coordinates the collection, compilation, and analysis of program activity data; develops, writes, and presents comprehensive statistical and narrative program reports.
Manages the administrative and daily operations of an institutional program, ensuring compliance with SOM guidelines, and state and federal policies and regulations.
Manages various programs/events and work independently, while keeping Manager abreast of all details.

Minimum Qualifications:
To qualify you must have a Bachelor's Degree required with 2 years of relevant experience, or the equivalent combination of education and experience. The successful candidate must also possess excellent interpersonal, verbal and written communication, and organizational skills. Knowledge of standard office software is essential, including proficiency with word-processing, spreadsheet and database software (e.g., Microsoft Office, preferred). Ability to multi-task and/or coordinate multiple assignments is required. Ability to interpret and implement policies and procedures, and effectively communicate detailed information to a diverse population, both verbally and in writing; excellent problem-solving skills is required.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $67,771.14 - $89,888.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
