Overview of Responsibilities: Accurately maintains MSGCU’s files and member records. Understands and adheres to MSGCU’s Records Management policies and procedures. Maintains integrity and efficiencies in the administration of active and archived records storage. Inputs and retrieves records and responds to requests for member records according to service level guidelines.
- Information and Records Management: Maintains accurate and accessible hardcopy and electronic records to ensure compliance with MSGCU’s Records Management policies and retention schedule. Prepares audit materials and coordinates record shredding to support regulatory compliance and proper document lifecycle management. Processes print jobs and completes system updates, including address changes, to maintain accurate member and account information. Uploads, indexes, and validates scanned and electronically received documents in the document management application to ensure accuracy, accessibility, and data integrity.
- Mailroom Operations and Administration: Processes timely distribution of inbound and outbound mail, including USPS, inter-office mail, FedEx, and UPS to ensure efficient communication across departments and branches. Prepares certified mail and shipping labels and processes a high volume of outgoing mail. Maintains mailroom equipment routine inspections, cleaning, and vendor coordination to ensure uninterrupted service.
- Organizational and Support: Responds to service requests received via e-mail, phone, and tickets to support timely account research, document retrieval, and member information needs. Gathers information and supports documentation related to records equipment, applications, and services to assist leadership in evaluating operational needs. Assists with department and corporate projects to maintain efficient and compliant records processes. Supports vendor coordination for records related services, including shredding, courier, and mailing providers to ensure continuity of records operations.
- Legal and Court Order Processing: Researches and processes levies, garnishments, subpoenas, and interrogatories to ensure timely and accurate legal compliance. Files required court disclosures and securely sends subpoenaed documentation using approved systems to protect member information. Places required system holds, applies appliable fees, and updates account information in response to legal orders to ensure proper account handling.

Education and Experience Requirements:
- High school diploma or GED; and
- 2 years of experience working in an office environment, preferably in records management.
Working Conditions:
- Office and branch location environment with little discomfort from noise, extreme temperature, dust or other factors.
§ Occasionally required to travel throughout MSGCU's service area as business needs require.
§ Exposed to potentially hazardous conditions, such as robbery. Receives detailed instructions and security procedures on an annual basis to minimize risk.
§ This work involves sitting most of the time with brief periods of walking or standing and may occasionally require lifting and/or moving up to 30 pounds.
Compensation and Benefits:

- Base hourly pay begins at $17.47/hourly

- If you are at least 21 years old, you will receive a 3% contribution from MSGCU, and a 100% match for the next 7% you contribute to your 401(k)
- You will enjoy 12 paid holidays and up to 120 hours of PTO your first year of service (pro-rated based on start date)
