The Senior Marketing Events Specialist is responsible for overseeing and executing major corporate events, including annual global kickoffs, client conferences, and sales incentive trips. This individual is responsible for setting execution plans for events and handling detailed logistics, budgets and reporting. This role emphasizes budget management, contract negotiations, executive presentations of event plans, and the ability to manage multiple large-scale events simultaneously across various geographical locations.

Key Responsibilities:

  1. Event Planning and Execution:
    • Work with executive leadership to present options, incorporate feedback and align with budget expectations to plan, manage, and execute large-scale corporate events.
    • Research event location options and negotiate necessary contracts such as venue rental, production support, F&B, hotel blocks, etc.
    • Maintain overall event project plans, including production timelines, run of show details and related tasks various functional teams are responsible for.
  2. Event Platform Management:
    • Create registration pages for events and manage the end-to-end registration process.
    • Create reports of event registrations and attendance to help inform promotion and production activities.
    • Support on-site registration via online and physical registration methods with the purpose for attendance oversight and lead-generation activities.
  3. Budget Management:
    • Determine fiscal requirements and rigorously manage event budgets, including event analysis and ROI.
    • Ensure accurate collection and management of receipts and all surrounding documents.
    • Work with internal finance teams on budgeting and providing cost analysis of events for reporting and future event planning.
  4. Contract Negotiation:
    • Negotiate agreements with vendors and sponsors to ensure the lowest cost and highest quality of service.
    • Manage day-to-day relationships and activities with external vendors and event partners.
  5. Executive Presentations:
    • Prepare and present detailed event plans and status updates to senior executives and cross-functional event teams.
    • Provide post-event analysis, budget recaps, and internal and client feedback to incorporate learnings into future event plans.
  6. Cross-Functional Collaboration:
    • Collaborate with Digital Marketing, Field Marketing, Product Marketing, Sales, and Product Management to establish event theme & design, staging, materials, presentations, and messaging.
    • Work closely with Sales and the Marketing team to identify resources and ensure a unified message.
    • Serve as an effective team member within Marketing, taking on special projects and helping others during peak times.
  7. Logistics and On-Site Leadership:
    • Manage on-site logistics for seamless event execution, including venue research, logistics planning, and coordination of event environments.
    • Provide on-site leadership at major events, ensuring a positive atmosphere and keeping activities on schedule.


Required Experience

  • Proven track record of coordinating successful events with 500-1,500 attendees.
  • 5+ years of experience planning major marketing events.
  • Bachelor’s degree in Marketing, Communications, or equivalent experience.
  • Demonstrated experience in managing multiple activities simultaneously targeted at business-to-business professionals in various industries.
  • Excellent verbal and written communication skills.
  • Strong budget management and contract negotiation skills.
  • Proactive, detail-oriented, and results-focused with outstanding program/project management skills.
  • Ability to think creatively and bring fresh ideas to the table for maximum impact and results.
  • Ability to manage and adapt quickly to change and respond positively and flexibly to competing priorities.
  • Ability to remain calm under pressure and stressful situations to effectively resolve issues and preemptively mitigate problems before they happen.
  • High proficiency with computers and software programs including the MS Office Suite & Cvent platforms.
  • Ability to travel up to 20% of the time.

The base salary range for this role, across the US is $70,000 - $110,000.00.  Your actual base pay within this range will be determined by your work location as well as skills, qualifications, experience, and relevant education/training. The range provided reflects only the base salary for the role and does not include benefits.
