Position Summary

We are seeking a Scheduling Specialist II to join our team! This position is responsible for coordinating patient appointments, assisting with physician referrals, maintaining accurate patient demographic and insurance information, and providing exceptional customer service. The Scheduling Specialist II plays an important role in helping patients navigate their care while ensuring scheduling and registration information is accurate and complete.

Key Responsibilities

  • Schedule and reschedule patient appointments, procedures, and follow-up visits with physicians, physician offices, and appropriate departments.
  • Schedule appointments using the electronic scheduling system, including Epic.
  • Assist patients with locating providers who are accepting new patients and connect them with appropriate services.
  • Coordinate physician referrals and provide physician information in accordance with established procedures.
  • Maintain accurate and current patient demographic information, including contact information, emergency contacts, and employer information.
  • Respond to patient questions by telephone and update patient accounts and registration information as needed.
  • Review insurance coverage and determine whether coverage is accepted by the appropriate clinic.
  • Identify and create guarantor information when necessary.
  • Maintain knowledge of physician privileges, procedures, and block scheduling requirements.
  • Communicate scheduling and patient information accurately to appropriate departments.
  • Maintain patient confidentiality and comply with HIPAA requirements at all times.

Education

  • High school diploma or GED required.

Experience

  • Minimum of three years of relevant clerical or secretarial experience in a healthcare setting, including direct customer contact experience, required.

Knowledge, Skills & Abilities

  • Strong verbal and written communication skills.
  • Excellent grammar and spelling skills.
  • Proficiency with keyboarding and various computer software programs.
  • Strong organizational and multitasking abilities.
  • Ability to prioritize responsibilities and adapt quickly in a fast-paced environment while maintaining accuracy.
  • Strong critical-thinking and problem-solving skills.
  • Ability to read and interpret policies, procedures, instructions, and other documents.
  • Ability to prepare routine correspondence and communicate effectively with patients, providers, and team members.
  • Strong computer and data-entry skills.
  • Ability to learn and effectively use an electronic health record system.
