Position Summary: This position will provide support to Office Leaders, Section Heads, and Project Managers, on tasks throughout the project lifecycle (marketing, pre-contractual documents, contract agreement, budgeting, contract administration, invoicing, closeout/archive, etc.) as well as other regional project/project management related task assignments. Provides contractual, financial, and administrative support to multiple departments. Project management and financial assistance related to contractual management including preparation of redistribution of contract and task funds, price proposals, task proposals, closeout letters, contract agreements, subconsultant agreements, and budgets. Understand each client’s contractual and financial requirements. This position is not eligible for employer-based sponsorship with the exception of the TN visa classification.
Essential Functions and Responsibilities
- Assist Office Leaders, Project Managers, and Section Heads in contract/project administration and management, which may include the following: preparation of pre-contractual and contractual documents, price proposals, fee/task proposals, funds reallocation requests, and other project-related documentation for submission to clients.
- Continuously track and monitor multiple contracts/projects and budgets by utilizing Power BI.
- Work closely with Accounting & Finance Department to communicate the status of invoice action items as well as backchecking invoices and coordination with subconsultants and vendors.
- Assist Project Managers with project scope and price proposals.
- Assist Project Managers with project financial set up and coordinate with project accounting staff.
- Assist with Project Management Plan (PMP) development and tracking updates related to project scope, price and schedule.
- Assist Project Managers and Marketing staff with Project Closeout process (complete project write-ups, upload photos and complete CRM project inputs).
- Prepare and track subconsultant agreements and contract renewals.
- Some travel between Fort Washington and Philadelphia offices will be necessary.
Nonessential Functions and Responsibilities
- Perform other related duties as assigned.
- Coordinate regular updates of workload projections with project managers and regional leaders.
- Coordinate conference planning activities for the PA/OH Region.
- Coordinate career fair attendance, registrations and logistics for PA/OH Region.
- Generate Summary Reports for the PA/OH Region monthly meetings.
- Assist with meeting preparations, logistics and development of meeting minutes and action items.

Required Experience
- High School Diploma
- 2- 4 years of experience in a related field
Preferred Qualifications
- Associate's degree or a Four-Year Degree in Business Administration, Business Management or a related field
