Responsibilities 

 This is a role for the International Crops Research Institute for the Semi‑Arid Tropics (ICRISAT) and hosted by IFDC. 

  • Serve as the first point of contact for ICRISAT, providing a warm and professional welcome to clients, visitors, and employees; 

  • Maintain the office records, filing of relevant official documents including Donor Grants, sub-grant contracts, Partnership Agreements, hosting agreements, MOUs, etc,.  Also,maintaining records of staff contracts, Consultants, Interns, etc;    

  • Manage Front Desk Operations by maintaining a clean and organized reception area, including managing visitor logs; 

  • Schedule Appointments by coordinating and arranging appointments and meetings for staff, ensuring all arrangements are properly communicated and organized; 

  • Provide logistical support during Workshops, Events, Conferences, etc. Play a key role in organizing both internal and external meetings and assisting visitors or participants; 

  • Write minutes of the proceedings in meetings and file them accordingly; 

  • Any other duties assigned. 

 

Requirements 

  • Bachelor’s in administration or related field; 

  • Excellent verbal and written communication skills in English; 

  • Strong organizational and multitasking abilities; 

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); 

  • Professional appearance and attitude; 

  • Ability to handle confidential information with discretion; 

  • Strong interpersonal skills and customer service orientation. 

 

Reporting and Work Relationships 

The Executive- Administration will report to the Senior Scientist. 

 

Location

This is a national recruitment based in South Sudan-Juba. 

 

Salary Clause 

The salary grade for this position is BG 4.   

The determination of new employee salaries takes into account various factors. These include the salary range linked to the assigned job grade, the candidate's qualifications in relation to the job's responsibilities and prerequisites, internal fairness, the competitive state of the job market, as well as potential organizational and budgetary considerations.
