Role Overview:
Could you be our next Executive Specialist? American Income Life is looking for an Executive Specialist to join the team!
In this role, you will be responsible for supporting the AIL Sales Division by completing a wide range of operational and administrative tasks, including but not limited to, planning for the annual sales convention, handling special agent awards and incentives, calculating special bonuses, auditing expenses and general ledger accounting, and reviewing and approving published materials used by AIL/NILICO sales agents and Home Office Teams.
This is a hybrid position located in Waco, TX (WFH Monday & Friday, In Office Tuesday-Thursday).
What You Will Do:
- Manage the ordering and distribution of Executive Council Rings, Leadership Council Rings, and Top Producer’s Council Rings, Founder’s Club rings and other awards as necessary.
- Handles Million Dollar Club (MDC) bonuses and awards. Coordinate President’s Club and YTD bonuses and award orders, ensuring that all logistics are handled smoothly for convention events.
- Proof and approve recognition materials for regulatory compliance (Spotlight, Labor Letter, and items sent through Workfront/AD&D compliance approval).
- Manage convention logistics, including sending invitations, luggage tags, and tracking attendee registrations in collaboration with the Globe Travel Department.
- Collaborates with the Marketing Department to ensure award scripts and PowerPoint presentations for conventions are accurate and visually aligned with expectations.
- Assists in creating materials for the awards presentation, including CEO’s notebook, award scripts, and seating arrangements.
- Manage post-convention tasks, including but not limited to award and photo distribution.
- Ensures accurate general ledger coding for expenses and reimbursements, working closely with team members and the Payroll and Accounting Departments.
- Oversees the agent 1099-NEC/T4A reporting for contests and gift cards, collaborating with the Globe Travel Department for accurate calculations.
- Support with the completion and publishing of Union Collective Bargaining Agreements, including proofreading for regulatory compliance and coordinating the distribution of printed contracts after final approval.
- Proofread and signoff on internal and external documents, including presentations, marketing materials, and compliance documents to ensure material compliant with company guidelines and regulatory requirements.
- Resolve time tracking issues for specific individuals, ensuring accurate payroll records.
- Assists with special projects as needed, including support for company leaders and top executives and attorneys on compliance matters.
- Maintains a comprehensive system for managing director bonuses, tracking payments, and submitting details to payroll.
- Assist the Legal Department with research and review of customer related or agent related litigation.
- Prepares and edits correspondence, communications, presentations, reports and other documents to ensure material is compliant with company guidelines and regulatory requirements.
- Performs frequent audits of correspondence, advertising material, flyers, etc. as submitted by State General Agents to ensure the material is compliant with company guidelines and regulatory requirements.
- Work independently and be able to recommend courses of action based on the findings of a research.
- Acts as a Floor Warden in the AIL1 Building during emergency situations, assisting with safety procedures as needed.
What You Can Bring:
- Bachelor’s degree or 5+ years working in a professional administrative position
- Experience in Sales Administration, Agent Compensation, Agent Licensing preferred.
- Proficient with the use of Microsoft Office, Excel, Access, and PowerPoint.
- Must be able to Travel to Annual Sales Convention (will require some travel abroad – outside of the USA).
- Must have knowledge of the insurance industry, preferably knowledge of the Company’s internal processes with both customers and independently contracted agents.
- Familiarity with compliance and regulatory procedures.
- Experience preferred in event planning and coordination, particularly large-scale company events and conventions
- Must obtain a Notary Public commission through the State of Texas.
- Knowledge of agent contract, company processes, and regulatory procedures.

- Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
- Excellent attention to detail and proofreading skills.
- Strong communication skills, both written and verbal, with the ability to interact effectively with executives, SGAs, agents, and staff.
- Experience working with general ledger accounting, expense reports, and financial reconciliation.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to work independently and as part of a team to meet deadlines.
- Strong analytical, quantitative, investigative, interpersonal and communication skills
- Proven problem-solving skills using deductive reasoning
- Needs to be able to make decisions and judgments independently
- Manages time effectively and works independently in establishing responsible deadlines
- Must be comfortable working and communicating directly with top executives, Agency Owners (SGAs), agents, attorneys on highly sensitive topics as needed.
- Confidentiality. Must be able to keep data, bonus, awards, documentation confidential as required.
