Purpose:

The Contracts Administrator supports the Finance and Accounting Services Team (FAST) with managing the  company’s portfolio of all types of contractual agreements, including preparing, reviewing, and negotiating terms and conditions for grants and contracts, drafting contractual provisions, managing amendments, and mitigating potential risks through diligent contract analysis. This position organizes and maintains contractual files and provides regular status reports to directors, managers, and other key stakeholders, enabling informed strategic decision-making. This position will also ensure compliance with company policies and industry regulations, working closely with the Governance, Risk Management, and Compliance (GRC) team to mitigate risks.

Education:

BA/BS in a related field
Equivalent combination of education and/or work experience in related field may be substituted.

Years of experience in a related field:

5+  years of experience in contractual agreement preparation, analyses, and reporting.
5+ years of experience in contracts administration and compliance.

Credentials:

Preferred: Government Contracts Administration Certificate (or similar certification relevant to the role).

Duties (in part):

Contract Development and Management:
• Contract Creation: Develop and draft various types of contractual agreements for the performance and 
procurement of services, ensuring they meet the company’s requirements and legal standards.
• Review and Reporting: Review and analyze sponsored or externally funded contractual agreements, 
providing detailed reports and recommendations on terms, conditions, and compliance.
• Amendments and Revisions: Work with Operations to negotiate and finalize amendments and revisions, 
ensuring all changes are accurately documented and communicated.
• Subcontractor or Vendor Management: Review, assess and manage subcontractor and vendor terms and 
conditions, suggesting innovative solutions and improvements to address contract requirements 
effectively.

Issue Resolution and Compliance:
• Issue Investigation: Investigate and follow through on contract-related issues, resolving disputes and 
addressing any discrepancies that arise.
• Compliance Monitoring: Ensure compliance with contractual obligations, legal requirements, and 
company policies. Provide guidance on interpreting and adhering to contract requirements and 
obligations.

Specialized Knowledge and Skills:

  • Excellent verbal and written communication skills for clearly conveying information, negotiating effectively, 
    and preparing and presenting concise administrative and contract reports.
  • High level of thoroughness and accuracy in reviewing and managing contractual documents and financial data, 
    ensuring precision in all aspects of contract administration.
  • Strong writing skills with the ability to draft, edit, and rewrite contracts as needed, ensuring clear and 
    unambiguous agreements.
  • Proven ability to negotiate terms and conditions effectively.
  • Advanced skills in Microsoft Office Suite (Excel, Word) and experience with contract lifecycle management 
    software (e.g., DocuSign) and CRM systems for data analysis, documentation, and reporting.
  • Ability to analyze complex contracts and financial data, providing insightful analyses and reports.
  • Capability to identify, address, and resolve issues related to contracts and compliance.
  • Effective at working independently, managing time efficiently, prioritizing tasks, and meeting deadlines, 
    especially for time-sensitive contracts.
  • Flexibility to adjust to changes in regulations, processes, or priorities as needed.
  • Ability to develop and maintain cooperative relationships with employees, vendors, stakeholders, and other 
    personnel.
  • Working knowledge of local, state, and federal acquisition regulations, grants management policies, and a 
    thorough understanding of accounting principles, statistical methodology, GAAP, and GAAS.
  • Strong sense of ethics and integrity in handling confidential and sensitive information

Compensation Range:

* Geographical location taken into consideration.
