The following position provides direct support to COLSA’s North Florida Operations (NFO) office, located in Shalimar, FL.
- Provides direct support to Vice President of North Florida Operations, COLSA CTG Program Manager, EPASS/EB Program Manager, and COLSA task leads.
- Office manager and lead Project/Program Specialist of the COLSA Shalimar office.
- Provides lead support in preparing and overseeing all labor, financial, manpower, and other reports as required in support of A&AS contracts, either as prime or subcontractor.
- Prepares reports in Microsoft Excel such as weekly and monthly CTG TWES reports, and monthly A002 reports.
- Provides comparison of TWES and timecard reports. Identify and resolve differences.
- Provide weekly update of new or closed JON/WBS codes to COLSA contracting for uploading into Costpoint.
- Prepare weekly EB UID labor report.
- Prepare monthly EB UID labor and travel report.
- Oversee the travel excel spreadsheet used to track all estimated and actual travel cost associated with travel performed by all NFO employees.
- Prepare employee PLCs and IWAs for new hires and promotions.
- Prepare the yearly NFO labor and budget forecast.
- Prepare purchase orders when needed.
- Provide support as NFO FSO by overseeing the processing of visit requests, security justification forms for new employees, SCI justification requests, travel briefings, coordinating base pass affidavits, COLSA badges, terms and other security-related duties.
- Download and prepare monthly project ledger reports in Excel.
- Analyze and review cost reports to ensure all labor, travel, and ODC costs are accurate. Use intermediate to advanced Excel sorting, formatting, and formula tools to identify discrepancies.
- On a bi-monthly (twice a month) or as-needed basis, perform a cross-check of the NFO employee information database (All Data) by compiling and comparing information extracted from various sources. Use intermediate to advanced Excel tools to compare data sets and identify discrepancies.
- Assist NFO employees with DELTEK timesheet and expense report issues.
- Responsible for the tracking of office petty cash and supplies inventory.
- Assist in the planning and coordination of all local employee functions. Will serve on the ACE Committee and coordinate periodic committee meetings.
- Exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion and judgment.
- Perform other duties as assigned.

Required Experience
Required Experience:
One of the following combinations of education/experience:

- Bachelor's degree in business or related field and 4 years of related experience
- Associate's degree in related field and 4-8 years of related experience
- High school diploma and 8-12 years of related experience
- Intermediate to advanced Microsoft Excel skills are required
- Must be proficient in Microsoft Office applications.
- Familiarity with Deltek Costpoint and timekeeping.
- Excellent communication and customer interface skills required.
- Ability to manage and prioritize multiple projects.
- Must be a U.S. citizen
- Must be eligible and able to maintain a DoD Secret security clearance.
Preferred Experience:
- A current and active DoD Secret security clearance highly desired.
- Experience in creating Excel Pivot tables highly desired.
- Experience with working with DOD customers is highly desired.
