Position Summary
As part of the CWC Foundation and CWC’s Business Office, the Grants Management Specialist/Business Office Technician is responsible for managing grants administration and supporting the business office for the college. This position will manage grantee contract requirements and performance, maintain grant records, monitor and report on grant budgets, and provide guidance and training to ensure compliance with grant rules and requirements. Review and process credit card statements, and input purchase orders. This position will work hand in hand with the Director of Government & Foundation Relations and will report directly to the Executive Director of the CWC Foundation, with a dotted line to the Director of Finance.

Essential Duties and Responsibilities
1. Participates and supports faculty and staff in developing grant applications, budgets, and contract requirements when needed.
2. Monitors activities, budget, and achievement of grant outcomes through proactive communication with Grant Leads.
3. Identifies to leadership early areas of concern in grant performance and/or timing of performance.
4. Provides guidance to Grant Leads, and grant seekers, regarding allowable activities, questionable costs, budget modifications, key personnel changes, funder regulations, procedures, etc.
5. Working with Grant Leads, helps submit any information requested during or after the grant period by the funder and ensures all required reports are filed in a timely manner.
6. Creates internal controls and calendar for each grant and maintains grant records utilizing College and Foundation software as appropriate.
7. Ensures that Grant Leads, individuals in grant-funded positions, and others expending grant funds are trained on applicable regulations, procedures, etc.
8. Working with Grant Leads, help with any federal agency or other funder site visits.
9. Staffs the College’s Grant’s Cluster Team and keeps them informed regarding grant activity and is involved in tracking future grant opportunities.
10. Serves as a liaison between Grant Leads and the budget/finance offices to ensure financial coordination and compliance

11. Reconciles grant accounting activity to the general ledger accounts.

Business Office Duties
1. Records and accounts for fixed assets.
2. Assists with bank reconciliations of several bank accounts
3. Process unclaimed property, including contacting payees.
4. Processing student payment plans - Deciding when to allow payment plans outside of regular guidelines; Regular billing statements – Evaluating which students need to receive one;
5. Processes CWC & WPBS payables by Processing invoices, matching them to purchase orders and preparing them for payment; Evaluating which purchase orders require further authorization prior to entering;
6. Processing accounts payable documents through document imaging system and files AP documents.
7. Assists and supports the business office in the college’s annual audit.
8. Performs other reasonably related duties as assigned or directed.

Position Specifications
Minimum Qualifications
● Education

  • Associate’s degree in Business Administration, Accounting or similar field.

● Experience

  • Three years of related experience in grants administration or accounting.

● Equivalency Statement

  • Equivalent combinations of education and experience from which comparable knowledge and abilities can be acquired may be considered on a case-by-case basis.

Knowledge, Skills, and Abilities
1. Knowledge of CWC policies, procedures and practices.
2. Considerable knowledge of federal granting agency’s policies and procedures
3. Considerable knowledge of grants and accounting procedures.

5. Considerable knowledge of accounting processes.
6. Skills in general bookkeeping
7. Skills in general office management and best business practices
8. Skills to work proactively and effectively with campus staff.
9. Advanced experience with Google Sheets or Microsoft Excel.
10. Ability to support grant-writing position within the Foundation.
11. Ability to organize, prioritize and follow multiple projects and tasks through completion within established deadlines.
12. Ability to effectively identify and resolve problems and maintain confidentiality.

Level of Supervision
Work is primarily performed under the direction of the Executive Director of the CWC Foundation and Director of Finance.

● Equipment Used

  • Standard office equipment includes a personal computer, calculator, fax machine, phone, scanners, copy machine, and telephone. Motor vehicle.

● Physical Requirements:

  • Tasks require a variety of physical activities, which do not generally involve muscular strain, such as walking, standing, stooping, sitting, reaching and light lifting. Regular talking, hearing, and seeing are required in the normal course of performing the job. Common eye, hand, and finger dexterity is required to perform some essential functions. Mental application utilizes memory for details, verbal instructions, emotional stability, discriminating thinking, and creative problem-solving. Ability to operate a motor vehicle. Ability to lift up to 10 lbs.

● Environmental Conditions:

  • Work is generally performed in a typical office setting with appropriate climate controls. Travel and evening/weekend work may be required.
