Program Manager - Critical Minerals Security Program
Research Programs & Projects
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Essential functions may include, but are not limited to the following:
I. Operations & Project Management: manage comprehensive program operations across multiple systems platforms. Maintain professional contact databases, develop and monitor detailed project workplans, track project deadlines, and liaise with internal CSIS departments for seamless and timely execution of program activities. Support HR functions, including recruitment and personnel management.
II. Development Support: support new project development by collaborating with Program Director and CSIS Office of Development on funding proposals, MOUs, and donor relationship management. Track fundraising pipelines, monitor financial reporting requirements and deadlines, and log corporate engagements through Salesforce software.
III. Stakeholder Relations: coordinate engagements with program partners, corporate donors, senior affiliates, and external stakeholders.
IV. Support Program Director: manage the program and program Director's calendars, including scheduling internal and external meetings, arranging travel logistics, and maintaining professional relationships with key stakeholders.
V. Event Management: lead end-to-end coordination of public and private events, including high-level conferences, roundtables, and virtual events. Oversee logistics, including scheduling, venue selection, coordination with participants, event set-up and catering, preparing event materials, and managing day-of execution.
VI. Budget Administration & Financial Management: manage and oversee multi-source program budget through CSIS financial management systems, including monitoring monthly accounting statements; drafting project budget proposals; processing payments, expense reports, and reimbursements; and coordinating with program Director on financial planning and quarterly budget reviews. Maintain meticulous expense and revenue tracking across multiple grant awards.
VII. External Communications: manage the program’s digital presence and external outreach, including maintaining program social media pages on LinkedIn, Twitter, and Bluesky, producing special mailers and weekly program newsletter, ensuring program web content is up-to-date, coordinating with CSIS External Relations on media and promotional efforts, and tracking engagement metrics.
VIII. Ad-hoc administrative tasks as assigned by the Director.
KNOWLEDGE, EDUCATION, AND EXPERIENCE:
• Bachelor’s degree in related field.
• 2–4 years of related experience in program/project management. Budget management experience preferred.
• Superior communication skills, good judgment, and ability to anticipate needs.
• Excellent organization, time management, and attention to detail.
• Ability to work independently, in a team, and closely with a range of individuals from diverse backgrounds and cultures.
• Ability to multi-task and operate in a fast-paced environment.
