Under the direction of the Director of Student Access & Outreach, the Events & Tours Coordinator plans, coordinates, and executes campus tours and recruitment events at the College of Southern Idaho. This role helps prospective students feel a sense of belonging from their first interaction with the college.
As a key contact for prospective students, families, and school partners, this position requires strong communication, public speaking, and relationship-building skills. The coordinator must be knowledgeable about CSI programs, student services, and admissions processes, and able to share that information clearly.
The coordinator also advises the CSI Ambassador Council. A group of 12 student leaders who support recruitment through tours, event support, and peer leadership. The role includes mentoring these students in areas such as public speaking, professionalism, and campus knowledge.
A dependable, detail-oriented professional, the coordinator is responsible for planning and delivering impactful recruitment events and tours, customized or large-scale, while coordinating logistics, campus partners, venues, and student support. This role highlights CSI’s diverse pathways, including academic transfer, workforce training, Career and Technical Education, Bridge to Success, and apprenticeships, encouraging students to find the path that fits their goals.
Primary Responsibilities:
- Coordinate all CSI campus tours for prospective students, families, and groups, including logistics, communication, scheduling, and follow-up.
- Work with faculty, staff, and students to tailor campus experiences, highlighting programs and support services.
- Manage group tours, including outreach and scheduling with area high school counselors and campus partners.
- Lead the planning and execution of CSI Instant Enrollment events across campus and at off-campus sites.
- Plan and coordinate high-impact recruitment events such as:
- Magic Youth Leadership Summit
- Eagle Explore
- FAFSA Events
- Counselor’s Day
- High School Appreciation Basketball Game
- High School Advising Days
- Welcome Weekend
- Freshmen CTE Day
- Idaho Launch Pop-Up Events
- Assist with larger institutional events such as Grad Fest, Eagle Fest, and Commencement.
- Advise and support the CSI Ambassador Council.
- Lead recruitment, onboarding, and leadership development for Ambassador students.
- Provide ongoing training and mentorship focused on public speaking, professionalism, and CSI knowledge.
- Oversee the Council’s involvement in fundraising, teambuilding, and event support.
- Attend weekly meetings, leadership classes, and council retreats.
- Provide timely and helpful assistance to students and families through email, phone, and in-person interactions.
- Help students navigate the admissions process, including FAFSA, scholarship applications, and course registration.
- Collaborate with departments such as Admissions, Enrollment Services, Financial Aid, Advising, and the Registrar to ensure smooth transitions from prospective to enrolled students.
- Maintain knowledge of CSI programs, pathways, and student services in order to provide accurate and current information.
- Contribute to the development and assessment of CSI’s recruitment strategies through regular feedback, event reporting, and ROI analysis.
- Support continuous improvement of the CSI events and tours website and marketing materials.
- Assist with tracking participation data and follow-up through CRM systems.
Unique Functions
- Build and maintain strong relationships with high school counselors, educational partners, and local businesses.
- Understand and actively support the mission, vision, values, and goals of the Student Access department and the College.
- Bring creativity to the role by exploring new ideas to increase awareness of CSI and boost participation in outreach events.
- Stay informed and apply high-impact recruitment strategies and best practices.
- Help design and carry out effective, data-informed recruitment strategies.
- Collaborate regularly with faculty and department chairs to accurately promote academic programs and student opportunities.
- Represent CSI and the Student Access department professionally to both internal and external audiences.
Required Qualifications
- Associate’s degree in a related field or two or more years of experience planning, coordinating, or managing events, projects, or student services.
- Strong verbal and written communication skills, including public speaking and professional writing.
- Excellent interpersonal skills with the ability to connect with individuals from diverse backgrounds.
- Strong organizational and time management abilities; able to manage shifting priorities and meet deadlines independently.
- Comfortable working in a fast-paced environment that requires multitasking and flexibility.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office systems.
- Willingness to engage in ongoing training and professional development.
- Strong attention to detail and ability to follow through on tasks and responsibilities.
- Reliable transportation and willingness to travel locally (mileage reimbursed per institutional policy).
- Availability to work occasional evenings and weekends as needed for events.
Preferred Qualifications
- Bilingual in English and Spanish.
- Experience in outreach, marketing, training, or public relations.
- Experience mentoring student leaders.
- Familiarity with CRM systems (Anthology Reach preferred).
- Experience in recruitment/event planning in a college setting.
