Welcome Center Office Manager

Reporting directly to the Director of Admissions, the Welcome Center Office Manager will play a key role in supporting the Admissions Office. The Office Manager is expected to exhibit a positive and approachable attitude, cultivating a welcoming atmosphere for both students and the team, as well possessing the technical expertise required to fulfill the detailed responsibilities of the role effectively. This position requires a professional, organized, dependable, flexible, and friendly team member providing thorough, accurate, and timely support through, responding to emails, phone calls, greeting the students and community members, responding to inquiries, maintaining the office, assisting students thought-out the application, transition to campus processes, and managing various tasks.
A defining characteristic of this role is the commitment to delivering detailed, outstanding, and prompt support within a dynamic and fast-paced environment. To excel in this position, the manager must exhibit a positive outgoing attitude, strong communication, interpersonal, technology, and computer software (Microsoft Office) skills are essential. The Office Manager will play a pivotal role creating an environment that is the central hub to our Admissions Office, while providing and supporting student development of their Sense of Belonging at the College of Southern Idaho.
Duties and Responsibilities
- Working independently to organize and prioritize multiple tasks, performs the following duties in a timely and efficient manner:
- Greeting and welcoming students and community members with excellent customer service.
- Assisting students and directing them to the appropriate person or department for further assistance when needed.
- Answering the Admissions and CSI’s main direct lines calls and transferring them to the appropriate point of contact.
- Managing the Admissions email account with standard protocol and etiquette.
- Scheduling appointments, meetings, and conference rooms for the Admissions Office.
- Maintaining a clean and organized front desk area and ensuring it is well stocked with necessary supplies and promotional items (swag).
- Ensuring the front office team is professional and functional to represent the mission and vision of CSI.
- Maintaining up to date processes within Eagle Central to better serve students in person and over the phone.
- Providing general administrative support, including data entry from inquiry cards, StriveScan and high school transcripts.
- Maintaining all duplicate contacts in the student Reach system.
- Maintaining all bad emails within the student Reach system under the journeys.
- Maintaining security by following procedures and controlling access to the Welcome Center/ Admissions Office.
- Maintaining all EDPD students that come through the Education Department Chair.
- Facilitates the new employee onboarding procedures for the Admissions team.
- Facilitates office maintenance/move requests for staff within the Admissions office.
- Manages and organizes the Admissions team channel.
- Assist the Dean and Assistant Dean of Student Access with operational requests, including projects, Word documents, Excel, PowerPoint, travel needs, and internal operating systems.
- Understanding, supporting, troubleshooting student inquiries and issues when necessary.
- Participate in Student Access activities, which may occasionally require after or weekend hours.
- Assist with tour scheduling coordination including calling upcoming tours, setting tours up, etc.
- Oversee and coordinate work-study positions.
- Prepares and distributes departmental correspondence and mailings.
- Coordinates Admissions Office events including potlucks, birthdays, and Office of Student Access events.
- Orders office supplies for the Admissions Team and Office of Student Access.
- Ensuring office coverage during regular business hours.
- Maintains student confidentiality and privacy.
- Performing any other duties as assigned.
MINIMUM QUALIFICATIONS AND SKILLS:
- Associate’s degree required.
- A positive attitude and willingness to learn and serve is an essential expectation for this position.
- Demonstrated ability to meet the duties and responsibilities in the job description.
- Previous experience involving exceptional student/customer service.
- Organizational skills to work within prioritized needs.
- Excellent interpersonal communication and public relations skills to meet people courteously and to work with all ages and socioeconomic groups.
- A strong service orientation or desire to meet people’s needs, handle challenging situations and provide customer service and promote teamwork within the department, the College and community.
- Good judgment and professionalism in dealing with pressures and meeting deadlines.
- Ability to listen, take directions, and communicate effectively both verbally and in writing.
- Ability to attend to detail and follow directions with thoroughness and accuracy.
- Self-motivated to take assignments and carry them through from initial stages to completion.
- Demonstrated ability in business communication, including proper business English usage, composition, punctuation, and spelling.
- Flexibility and a willingness to attend and receive additional training to improve skills.
- Flexibility of work schedule when needed,
- Has respect for others' opinions and behaves to ensure an atmosphere of respect and trust.
- Able to maintain confidentiality with all matters.
PREFERRED QUALIFICATIONS AND SKILLS:
- Customer service experience
- Bilingual in Spanish
TECHNICAL EXPERTISE REQUIRED
- Proficiency in appropriate computer software including Microsoft Office, e-mail, telephone skills, and other related office systems.
- Ability to learn the CSI registration processes, business office, and other computer systems and maintenance skills.
- Attention to detail, accuracy and follow through.
- Demonstrated ability to learn and use CSI’s digital systems.
