HSHS Student Services Specialist

This position provides comprehensive services to prospective and current CSI students, dual credit students and parents, staff, faculty, and members of the community-at-large who are seeking information or services from the college within the areas of general office support, recruitment and pre-admission advising, admissions and evaluations, dual credit, records and registration, business office transactions, testing services, and financial aid. This position will participate in comprehensive cross-training efforts within student services, advising, financial aid, and the business office. It is also expected that this position will support the department and students with advising, registration, and the handling of monies.
ESSENTIAL FUNCTIONS
- Provides support, information, directions, and services to students, instructors, and business/community members in the building using knowledge of business procedures and proper etiquette.
- Performs work requiring knowledge of the organization or program to verify documents for completeness, accuracy, and to determine compliance with department procedures.
- Prepares, duplicates, and distributes department correspondence and mailings, and compiles data and reports.
- Maintains efficient and organized electronic and/or hard copy filing systems, creating, classifying, sorting, filing, and retrieving documents.
- Assists instructors with room use, class changes and cancellations, notifications to students, off-campus centers, and others that may be affected.
- Schedules and attends meetings and other events as assigned; prepares and distributes meeting minutes and other necessary materials; schedules room use, arranges catering needs with food service and tracks attendance and participation.
- Receives and routes daily incoming and outgoing mail; receives and sends fax mail; assists with bulk mailings.
- Scheduling repairs with IT as needed.
- Alerts security/maintenance/custodians to issues building issues and submits work orders for cleaning, repairs, or upgrades.
- Handles complaints and problems courteously and effectively.
- Performs additional related duties as assigned by immediate supervisor.
- Serve as specialist for admissions, records, registration, dual credit, and business functions:
- Obtains and retains comprehensive knowledge to effectively respond to inquiries and deliver service in the areas of pre-admission/recruitment, admissions, records & registration, and financial aid, dual credit and business office operations.
- Assists students with completing application forms, registering for courses, and completing residency forms.
- Provides course information and referrals to campus resources.
- Assists students with online application, and navigation of MyCSI, Eaglemail, and NelNet.
- Assists with student registration via the web (MyCSI) and in the student information system (Anthology).
- Assists faculty with Anthology and MyCSI procedures.
- Refers students to appropriate departments as necessary.
UNIQUE FUNCTIONS
- Receives and processes student payments, receipts monies to student accounts.
- Provides comprehensive information and assistance to dual credit students regarding application, registration, placement, transcript orders, waivers and appeals, and fees.
- Assists with student academic advising and financial aid by providing basic information and coordinating between off campus and main campus staff.
- Administers and proctors tests specific to HSHS programs, when needed.
- Makes CSI Clinical name badges.
- Maintains class, student, and instructor files and enrollment records for credit and noncredit courses.
- Provides faculty support for classes taught over a telecommunication system including making copies, retrieving completed assignments, routing paperwork and proctoring tests.
- Engages with outside agencies such as Idaho Department of Vocational Rehabilitation and Department of Labor in student success initiatives and by assisting with applications to cover tuition and supplies.
- Schedules rooms for instruction, meetings, outside groups, and others including professional development registration and payments for area educators.
- Trouble shoots basic IT and facilities issues as they arise.

SPECIFIC SKILLS REQUIRED
Must possess:
- Excellent interpersonal communication and customer service skills applicable to a diverse community.
- Demonstrated ability in using basic math skills and in business communications, including proper English usage, composition, punctuation and spelling as well as proofing of documents.
- Ability to attend to detail and self-motivation to carry through multiple tasks and projects from initial stages to completion to meet timelines.
- Ability to perform financial transactions accurately and efficiently. Ability to reconcile a till and keep accurate payment records.
- Demonstrated ability to establish and maintain cooperative working relationships with students, staff, faculty, and administrators.
- Ability to manage student records and correspondence in a confidential manner and according to guidelines.
Desired qualifications:
- General knowledge or ability to quickly acquire such knowledge of the policies, procedures and practices of major job functions, including FERPA, to ensure complaisance.
- Bilingual in English and Spanish.
TECHNICAL EXPERTISE REQUIRED
- Proficiency in Microsoft Word, Excel, Outlook, and general Internet and email functions.
- Ability to quickly learn the CSI registration, business office, and other computer systems including Web design and maintenance skills.
- Willingness to work and assist with other technology including projectors and other audiovisual equipment.
- Demonstrated ability to learn and use CSI’s digital systems.
EDUCATION / TRAINING REQUIRED
- In addition to skills normally acquired through completion of a high school education or equivalency, must possess specialized office skills and customer service knowledge which may be obtained through training or equivalent work experience.
- Associate degree, technical certificate, or completion of some college-level courses preferred. Experience in student services or educational records functions desired.
