The Office of the Registrar is dedicated to providing accurate and complete student records while delivering professional, courteous, and timely service to our diverse student population. Our goal is to empower students to achieve their educational objectives while adhering to community college policies and procedures.
The Academic Records Compliance Specialist supports the Office of the Registrar by assisting students, responding to phone calls and emails, updating process and procedure manuals, and maintaining a comprehensive understanding of departmental functions. This position is essential in ensuring the integrity of academic records and compliance with institutional standards.
As a vital connection between students and their academic goals, the Academic Records Compliance Specialist plays a key role in upholding our commitment to excellence in student support and compliance with all regulatory requirements.
Principal Responsibilities:
Data Integrity and Enrollment Reporting (45%)
- Coordinate with Information Technology and the Registrar to identify and resolve data discrepancies, such as duplicate enrollment records and student status changes that impact eligibility for Federal Financial Aid and accurate Enrollment Reporting.
- Submit Enrollment Reports to National Student Clearinghouse monthly to ensure accurate representation of the student’s record is provided to National Student Clearinghouse (NSC) and National Student Loan Data System (NSLDS).
- Collaborate with the Financial Aid team to ensure accurate updates of name changes and Social Security number adjustments in the Student Information System (SIS).
- Conduct regular audits of student records to verify accuracy and completeness, implementing corrective measures as needed, alongside the Registrar.
- Complete drop for no show correction forms and grade change forms in accordance with institutional procedures.
- Oversee the accurate reporting of EDUID numbers to the state of Idaho, ensuring compliance with state regulations and maintaining the integrity of student data within the institutional reporting framework.
- Organize, supervise, and maintain student records at the College of Southern Idaho. This includes ensuring accuracy and integrity in recording student data, maintaining compliance with FERPA regulations, and safeguarding the confidentiality of student records.
Athletic Eligibility (30%)
- Assess and verify the academic and eligibility status of student-athletes in accordance with NCAA, conference, and institutional regulations.
- Maintain accurate and up-to-date records of student-athlete eligibility, ensuring compliance with all relevant policies and regulations.
- Participate in all athletic registration clinics on a semester basis.
- Regularly monitor student-athlete academic performance and progress towards degree completion, ensuring adherence to eligibility standards.
- Work closely with enrollment services, faculty, and the athletic department to facilitate communication and support for student-athlete success.
Office Services and Projects (15%):
- Assist in the maintenance of student academic records.
- Works with others in the Office of the Registrar to resolve issues raised by student and faculty and serves as a resource for other institutional stakeholders.
- Respond to Office of the Registrar inquiries via phone, email, zoom/teams, or in-person.
- Contribute to various office projects, including updating process and procedure manuals.
Customer Service and Collaboration (10%):
- Demonstrate a strong focus on providing exceptional customer service to students and colleagues inside and outside of CSI.
- Foster an atmosphere of unity and collaboration within the office and across departments.
- Assist with any additional duties as assigned.
Qualifications:
- Associate’s degree from an accredited college or university.
- Exceptional attention to detail and analytical skills.
- Effective communication skills to explain compliance decisions to various stakeholders.
- Customer service orientation with a dedication to providing accurate and timely information.
- Collaborative mindset and the ability to work within a team-oriented environment.
- Strong organizational skills to manage multiple tasks and priorities effectively.
Preferred:
- Experience working in a higher education setting.
- Proficiency in using student information systems, databases, and technology tools.
- Strong understanding of FERPA regulations and the ability to maintain strict confidentiality.
