Reporting to the Executive Director, the Director of Operations is responsible for all ongoing business operations for Innovate@BU. This includes all finance and administrative operations, budget planning and management including payroll planning and tracking, facility management, HR related processes for student and staff employment, and program management of the Norwegian Entrepreneurship Program and IDEA Con. Works in close collaboration with the finance staff of the Provost’s Office. Provides support for the activities of the Executive Director.

 

Financial Oversight (40%)

Prepares and administers all financial matters for Innovate@BU. Presents recommendations to the Executive Director for the annual budget and executes all related tracking and reporting for expense and revenue. Maintains a rolling P&L to show cumulative expenses relative to the resources available from multi-year major donor support. Oversees expenses via PCard use, approves expense reports and all other transactions with budget implications.  Supervises an Event Coordinator charged with all hands-on transaction processing and facility support.

Collaborates with key team members to plan program level budgets for each semester including general projected expenses and student awards for entrepreneurship program progression.

Works in partnership with the finance staff of the Provost’s Office on all financial and HR matters.

 

Facilities & Administration (40%)

Provides leadership and all administrative oversight to assure a smooth operation of the IDG Capital Student Innovation Center and Innovate@BU. Maintains strong working relationships with service level departments to assure timely resolution to situations as needed. Manages department HR activity, including hiring and managing support level admin staff and student staff for the front desk. Oversees all student hiring and payroll. Reviews all job descriptions for department staff.  Assures timely document gathering and submission of student award payments. Leads administrative aspects of all grant submissions and grant management by Innovate@BU. Manages logistical operation of the IDG Capital Student Innovation Center including planning/ scheduling large scale maintenance, ongoing system upgrades, security systems, usage reports. Ensures the space inspires a creative mindset by commissioning original artwork as required. Support Innovate@BU affiliated faculty projects as needed.

Collaborates with Assistant Director of MarCom to promote all programs, using the Innovate@BU space itself as a vehicle for promotion (posters, signage, etc.)

 

Programs (20%)

Program director responsibility for:

       Norwegian Entrepreneurship Program: Direct and execute all administrative aspects of the program bringing 35-40 students from Univ. of Oslo to BU for a 10-week program, including visa management, housing, BU accounts, all orientation week activities and ongoing student and faculty support during the program. 

       IDEA Conference: with event producer, project manage all components of our large annual conference.

       Supervises Event Coordinator who supports financial submissions, event coordination, facilities, and the Norway Program.

 


Required Skills

  • Bachelor's degree in Accounting, Finance, or a related field. An equivalent combination of education and experience may be substituted on a case-by-case basis.
  • 4-6 years of work experience including 2 years in a supervisory or management role, preferably in a university or customer service environment.
