Position Summary:
The Office Coordinator provides administrative support to the Office in the areas of finance, personnel, and operations. He or she also collaborates with other colleagues to support the Study Abroad Shanghai programs in the area of student life.


Required Skills

Required Qualifications, Skills, and Abilities:
-Bachelor’s degree in a related field; Master’s degree is preferred.
-A minimum of one year of professional experience in administrative work is preferred.
-A strong understanding of both the American and Chinese higher education administrative practices is necessary.
-Experience with American/international students studying abroad is a plus.
-Proficiency in Microsoft Office applications is essential.
-Fluency in both English and Chinese and excellent work skills in a cross-cultural environment.

Key Responsibilities:
Finance (40%):
-Collect, initiate, and track all office bills, payments, and expenses and prepare monthly report for Director’s review following the designated timeline.
-Manage the Office’s bank account and petty cash account.
-Visit associated banks, tax bureaus, and other units as needed for document submissions.
-Assist the Office’s annual audit process and prepare required financial documents as per Director’s request.

Human Resources (10%):
-Collect and maintain up-to-date personnel records for both full-time and part-time staff.
-Track and maintain leave records for full-time staff.
-Coordinate with the Senior Language Coordinator and prepare payroll for part-time instructors and language tutors for Director’s review on a monthly basis.
-Help identify potential candidates for part-time instructors and RAs and arrange interviews when needed.

Operations/Office Management (20%):
-Ensure full functionality of the office, including furniture, equipment, internet, and landline, etc.; contact property management/vendors for repair and maintenance if necessary.
-Order supplies for the office and student dorms when needed.
-Prepare all documents that require the official seal, financial seal, and Chief Representative’s seal of the Representative Office for the Director.
-Keep inventory of office supplies, electronics, library materials, and all other assets.
-Perform any other duties that may be assigned by the Director.

Student Life (30%):
-Make housing arrangement for students and liaise with the housing provider and RAs on daily issues related to student housing.
-Collaborate with the Program Coordinator in planning and organizing student activities and accompany student groups on excursions and field trips when necessary.
-Serve as a language and culture resource to students in the Study Abroad Shanghai programs and guide them in their daily life in Shanghai.
-Help respond to on-site emergencies and provide pastoral care to students when needed.
-Support other student life related efforts as needed.
