Job Designation:
The Payroll Administrator is responsible for the day-to-day operations of the payroll function within the local business unit. The primary responsibilities are maintaining employee and contractor timecards, preparing Excel files needed for payrolls, ensuring accurate vacation accrual balances, acting as liaison between the site and corporate payroll and communicating with employees on timecard and payroll issues. In addition to previous experience, the successful candidate must have a good working knowledge of computer systems, good organization and communication skills and be able to work overtime as needed.
Job Core Responsibilities:
· Maintain employee timesheets in Made2Manage (ERP) and Unanet (timekeeping) for approximately 350 site employees
· Prepare and send hours files to corporate payroll and staffing agencies
· Maintain employee vacation and sick accrual records
· Track meal break times and provide reporting
· Track employee shift differentials
· Process employee safety reimbursements
· Process employee final checks and special payments
· Respond to employee timecard and payroll related inquiries
· Interface between employees and corporate payroll on pay related issues
· Maintain databases, reports and records that are necessary to support payroll activities
· Perform timecard audits to ensure accurate recording of time to government contracts
· Provide administrative assistance to HR department
· Participate in continuous improvement activities
· Keep strict confidentiality of all payroll information according to company policies and procedures.
· Other responsibilities as assigned.
Required Job Qualifications:
Education/Certification
· High School Diploma or equivalent
· A secondary certificate combination of relevant education and work experience that will allow successful performance of job expectations
Experience:
· 3-5 years of previous experience with payroll and/or bookkeeping.
Skills:
· Intermediate level in Excel (pivots, sumif, vlookup, etc.)
· Strong verbal and written communications skills
· Excellent organizational skills
· Strong attention to detail and reviewing own work to ensure accuracy
· Excellent problem-solving skills and ability to work proactively to prevent pay discrepancies
· Ability to maintain strict confidentiality with sensitive information
· Team player with the ability to multi-task and meet deadlines
· Please note that the salary range information is only applicable for California. Compensation is based on a variety of factors, candidate experience, qualifications, location as well as market and business considerations. Pay Range: $34/hour- $37/hour.
Preferred Qualifications:
· Bilingual (Spanish)
· Some Human Resources experience
