The Program Coordinator supports the operational, administrative, and communication needs of the Department of Kinesiology, with primary responsibility for coordinating activities related to the BS in Kinesiology undergraduate program. The position reports to the Department Chair of Kinesiology and works closely with the BS in Kinesiology Program Director, faculty, staff, and students to ensure effective program administration and high-quality student support. The Program Coordinator also serves as the Department's liaison between the College of Nursing and Health Sciences (CNHS) and other University units.

The ideal candidate is highly organized, detail-oriented, able to work under general supervision, and committed to providing excellent customer service in an academic environment.

Work days are typically 8-hour days, Monday through Friday.

Required Education

  • Bachelor’s degree

Required Experience

  • One to two years of administrative, program coordination, or customer service experience in a business or educational setting (higher education experience is preferred).

Primary Duties/Essential Functions

Under the direction of the Department Chair and with functional direction from the BS in Kinesiology Program Director, the Program Coordinator will:

  • Coordinate daily operations for the BS in Kinesiology program, supporting the Chair and Program Director in implementing program policies, procedures, and initiatives.
  • Coordinate course scheduling processes, including monitoring enrollment, supporting section and classroom planning, maintaining course rosters, and communicating with the Registrar, Scheduling Office, and Student Services.
  • Provide frontline student support, serving as the primary contact for prospective and current undergraduate students and assisting with inquiries, advising, and navigation of program requirements.
  • Support undergraduate recruitment, admissions, and orientation activities, including communication with prospective students and coordination of onboarding processes.
  • Supervise and schedule undergraduate student workers, assigning daily duties and assisting with performance monitoring for tasks related to events, advising support, communications, and general program operations.
  • Provide administrative coordination for departmental and program purchasing by relaying requests to purchasing staff and tracking the progress of requisitions and reimbursements.
  • Support faculty and student worker hiring processes, including scheduling interviews, coordinating searches, and managing candidate communications as directed by the Chair.
  • Coordinate timekeeping communications for adjunct faculty and student workers to support accurate tracking and reporting.
  • Develop and maintain FERPA-compliant digital and physical recordkeeping systems for departmental and program files, including student records, personnel documentation, procedures, and meeting archives.
  • Prepare and track reports and data summaries related to admissions, enrollment, course offerings, and program metrics for use by the Chair and Program Director.
  • Plan and coordinate undergraduate program and department events, including information sessions, orientations, student meetings, receptions, kickoff events, and graduation-related processes and activities.
  • Schedule, support, and document department and program meetings, including preparing agendas, distributing materials, and maintaining meeting minutes.
  • Coordinate program and department communications, including student email announcements, website updates, catalog edits, promotional materials, social media content, bulletin boards, and alumni communication and outreach, in collaboration with the Chair, Program Director, and graduate Program Manager.
  • Serve as a liaison to university support services, including catering, printing, mailroom, classroom technology, facilities, and media services.
  • Attend and participate in department, program, and CNHS meetings, ensuring accurate documentation, implementation, and follow-up of related events, services, policies, and procedures.
  • Engage in ongoing professional development, maintaining current knowledge of university systems, policies, procedures, and administrative processes.
  • Perform other related duties as assigned by the Chair and BS in Kinesiology Program Director.

Physical Demands

Visual Demands

  • Reading, writing notes, graphic design (related to social media), and working on a computer monitor.

Technologies

  • Proficient in Google Apps, Microsoft Office, Word, Excel, and social media platforms.
  • The Kinesiology Department uses PeopleSoft, 25Live, Zoom, Adobe Acrobat, Dropbox Sign, Formstack, Canva, Calendly, and others.

Compensation

  • Grade 7: $19.49 to $22.41 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package
