Program Manager, Marriage and Family Therapy - Department of Marriage and Family Therapy

The Program Manager for the Department of Marriage and Family Therapy will manage all programs (4 MFT programs, 1 Counseling Psychology program) within the department, fulfilling administrative duties and special projects under the direction of the Department Chair. The Program Manager will work in collaboration with the Program and Clinical Directors for all regional campuses as well as the Department Chair to oversee the organization of student progression within their disciplines, manage all administrative responsibilities, and assist in coordinating special events and activities for the departments. 
 
Required Education
  • Bachelor's degree required. 
Required Experience
  • Three to five years of administrative, program management, and/or budget experience showing progressively more responsibility for program development and implementation.
  • Prior event planning experience is preferred.
  • Knowledge of APU systems within multiple departments is preferred.
Primary Duties/Essential Functions

Marriage and Family Therapy | Counseling Psychology Support 

    • Participates in essential day-to-day office functions such as maintaining documentation and records, responding to emails and phone calls, monitoring paperwork, distributing office mail, maintaining office files, ordering office supplies, processing mailings, and duplication.
    • Assists the Department Chairs with budget management for programs (e.g., track spending and fund availability for all budget lines, provide weekly budget updates and spending projections).
    • Tracks monthly and annual budgets within Adaptive Insight, providing the Program Director with a monthly budget summary analysis of spending patterns.
    • Monitor restricted accounts and keep the Program Director apprised of status and trends.
    • Oversee processes and support for the Concur system: credit card reconciliation, reimbursements, and travel requests for all budget lines, and provide a weekly budget update and spending projection.
    • Oversees graduate program orientation, new cohort launches, student matriculation documentation, graduation, and alumni events.
    • Oversees the service and maintenance of all program resources and assists in purchasing resources as needed.
    • Oversees and plans department recruitment, organization, and advising activities, and directs advising of students needing guidance.
    • Manages correspondence with students and faculty.
    • Manages social media, department website, and other communications with the community.
    • Oversees program scheduling, calendar, and reservations.
    • Coordinates and submits course schedules promptly to the Registrar. Coordinate with the Registrar any schedule changes in the Program.
    • Creates, routes, and tracks adjunct contracts. Update Student Services of changes.
    • Manages, edits, and tracks changes within faculty workloads.
    • Oversees FERPA requirements and ensures that the program complies with FERPA protocol.
    • Oversee student records for all campuses under FERPA records.
    • Assists with coordinating and facilitating special events for the department.
    • Coordinates IDEA requisitions each semester.
    • Manages the hiring and onboarding logistics for all new adjuncts for all campuses.
    • Manages the adjunct faculty contracts by semester and interfaces with Human Resources and Payroll to ensure they are completed on time for all campuses.
    • Manages Adjunct timecards and department correspondence and provides resources from university initiatives.
    • Manages schedules and workloads for student employees within the departments.
    • Coordinates meetings and provides administrative support to the chairs, program directors, and faculty of the departments. Records minutes in departmental meetings.
    • File/record maintenance for prospective, enrolled, and alumni students.
    • Attends commencement ceremonies to support the department in event coordination needs.
    • Regular, punctual attendance as required by the supervisor based on department needs.
    • Performs other duties as assigned by the supervisor.

Marriage and Family Therapy Specific 

    • Facilitates the maintenance of DMFT role account and resources in DMFT Drive
    • Oversee workload for student workers and student representatives in the MFT department, when applicable.
    • Manages MOU and affiliation agreements for all four campuses' practicum sites.
    • Oversees program scheduling, calendar appointments, and reservations for all regional campuses.
    • Coordinates with the DMFT Program Coordinator to ensure student milestones are created and updated in PeopleSoft.
    • Works closely with Slate and Stellic experts to ensure DMFT is up-to-date with APU’s systems for organizing and tracking students.

Physical Demands
  • Requires repetitive motion and sitting at a computer keyboard.
  • Hearing and speaking on the telephone.
  • Meetings may require walking and/or driving to various University locations.
  • Ability to pull, push, bend, grasp, reach, and lift up to 20 lbs.
  • Must be able to climb stairs multiple times in a workday.
Visual Demands
  • Computer monitor and reading. 
Environment
  • Pleasant office, and comfortable temperatures. 
Technologies
  • Proficient in Google Apps.(Gmail, Calendar, Drive, Meets, etc.), and Adobe Acrobat.
  • Ability to learn PeopleSoft, Canvas, and other programs as needed.
Compensation
  • Grade 10: $25.94 to $29.83 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.
