The Planned Giving Coordinator / Donor Records Coordinator is responsible for assisting in the coordination of details of the university’s planned giving program and maintaining accurate donor records and ensuring the integrity of donor data. The role requires strong attention to detail, excellent communication skills, and a passion for advancing Azusa Pacific University’s mission.
Required Education
- Bachelor’s degree or equivalent experience.
Required Experience
- One to three years of experience in donor relations, marketing, or nonprofit fundraising.
Primary Duties/Essential Functions
Planned Giving Coordination

- Work with the Executive Assistant and Executive Director of Major and Planned Gifts to help execute a comprehensive plan of Planned Giving Marketing touchpoints, including newsletters, mailings, and email solicitations.
- Respond to planned giving inquiries.
- Track metric of responses to planned giving engagement
- Work with legal and financial professionals to ensure proper documentation and compliance.
- Track planned giving commitments and ensure proper documentation and follow-up.
- Prepare reporting for senior leadership.
- Provide welcome materials for new Cornerstone members.
- Work with Annual giving on stewardship materials for Cornerstone members.
- Assist with details for estate planning and donor events.
Donor Records Coordination

- Contribute to the accuracy and maintenance of the university’s donor database.
- Ensure that donor records are complete, up to date, and in compliance with applicable policies.
- Collaborate with other departments to ensure that donor information is accurately captured and recorded.
- Process gifts and pledges in the donor database, ensuring proper recognition and acknowledgment.
- Maintain confidentiality and security of donor information in accordance with university policies.
Skills
- Strong understanding of donor record-keeping and database management.
- Experience with fundraising software (such as Raiser's Edge, Salesforce, or similar).
- Knowledge of estate planning and planned giving vehicles (bequests, trusts, etc.).
- Strong written and verbal communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to work both independently and as part of a team.
- Strong ethical standards and respect for confidentiality.
- Strong customer service skills and the ability to have compassion and patience with an aging population.
Preferred Skills
- Experience with CRM and database management systems.
- Familiarity with nonprofit fundraising regulations and best practices.
- Experience working in higher education or with faith-based organizations.
- Knowledge of estate planning and planned giving vehicles (bequests, trusts, etc.) is a plus.

- Some evening or weekend work may be required for events or deadlines.
Technologies
- Proficient in Google Apps, Zoom, Canva, Mailchimp, and social media.
Compensation
- Grade 8: $21.44 to $24.66 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.
