The Faculty Support Office Coordinator reports to the Vice Provost for Academic Services and the Vice Provost for Academic Effectiveness and Academic Services whose responsibilities include academic initiatives on Faculty Development, Faith Integration, the Faculty Evaluation System, Curricular Support and Assessment, University Libraries, Institutional Research, General Education, the Writing Program, etc.. This position also provides lead support for new initiatives and collaborates with the Office of the Provost (OoP) on key projects.
Required Education
- Bachelor's degree required.
Required Experience
- Three to five years of administrative support experience is required.
Primary Duties/Essential Functions
- Assists with scheduling and promotion of events and activities related to Faculty Development, Faith Integration, the Faculty Evaluation System, Curricular Assessment, Office of Institutional Research, University Libraries, General Education, Fulbright, Visiting Scholars, the Writing Program, etc.
- Develops a master calendar of events and meetings for the Office of Faculty Support, managing the use of the Faculty Commons, and coordinating appropriate information with staff in Academic Affairs, faculty, and students.
- Provides oversight of the day-to-day operations of the Office of Faculty Support.
- Oversees the facilities management of the office suite, developing a short- and long-term plan for upkeep, usage, and renovations.
- Serves as key point person for ordering supplies for the Office of Faculty Support, including monitoring purchase orders.
- Schedules and manages the use of the Faculty Support Conference Room (Ronald 160).
- Monitors and directs incoming communication, including phone calls and Office of Faculty Support role email accounts.
- Monitors and updates system to fully digitize all records of the Office of Faculty Support, including budget, personnel, correspondence, meeting agendas and minutes, etc., ensuring compliance with University records policies.
- Represents the Office of Faculty Support and the Vice Provosts with discernment and tact to internal and external constituencies through phone, electronic, and face-to-face communications.
- Creates a Faculty Support Newsletter to distribute to all full-time and part-time staff, as well as community stakeholders on a quarterly basis.
- Tracks monthly and annual budgets within Adaptive Insight for all units in the Office of Faculty Support and provides monthly budget summary analysis of spending patterns.
- Oversees processes and support for the Concur system: credit card reconciliation, reimbursements, and travel requests.
- Demonstrates strong organizational skills in a fast-paced environment, providing proactive, resourceful, and efficient responses.
- Assess the urgency and importance of situations and act accordingly. Demonstrates excellent written and verbal communication skills, strong decision-making ability, and attention to detail.
- Regular, punctual attendance as required by the supervisor based on department needs.
- Performs other duties related to the job description as requested by supervisors.
Skills
- Excellent communication skills, both oral and written, including the ability to prepare and present reports and updates.
- Proficiency in using Google Workspace Apps, Microsoft Office products (e.g. Word/Excel/PowerPoint), Zoom, Canva, Mailchimp, and social media.
- A high degree of discretion and confidentiality is required due to the nature of personnel and data projects.
- Good organizational and problem-solving skills with attention to detail.
- Ability to prioritize and manage multiple tasks concurrently.
- Capacity to learn and implement procedures.
- Strong interpersonal and relationship-building skills.
- Must be a collaborative and effective team member.
- Knowledge of issues and efforts in higher education would be beneficial.

Physical Demands
- Requires repetitive motions and sitting at a computer keyboard.
- Hearing and speaking on the telephone.
- Intermittent sitting, standing, and walking including collaborating with other offices on campus.
- Able to lift, bend, grasp, reach, lift up to 20 lbs. occasionally.
Visual Demands
- Reading, writing notes, and computer monitor.
Environment
- Pleasant office with a comfortable temperature.
Technologies
Proficient in Google Apps, Zoom, Canva, Mailchimp, and social media.
Compensation
- Grade 8: $21.44 to $24.66 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.
