Administrative Professionals
The Administrative Assistant and Outreach Coordinator for the Geriatric Workforce Enhancement Project (GWEP) at Azusa Pacific University will provide comprehensive administrative support to ensure efficient operation of all program activities throughout the grant-funded project, ending June 2029. This role is also responsible for planning, coordinating, and implementing outreach initiatives aimed at promoting the GWEP programs and services to students, prospective students, and community partners.
This position is subject to continued grant funding.
Required Education
- Bachelor of Science
Required Experience
- Prefer one year experience in a healthcare occupation.
- Primary Duties/Essential Functions
- Managing administrative tasks such as scheduling meetings, coordinating travel arrangements, and maintaining GWEP program documentation.
- Serve as the primary point of contact for internal and external stakeholders, respond to inquiries, and facilitate communication between team members.
- Assist with budget management, tracking expenses, and processing invoices related to program activities.
- Oversee and manage procurement procedures, such as contract negotiations, vendor negotiations, and requisitions of supplies related to the grant.
- Oversee, handle, and monitor the paperwork and payment for honorarium guests and independent contractors.
- Creating and keeping accurate records that facilitate program evaluation.
- Supporting the organization of training events, workshops, and conferences, to ensure that logistical details are executed effectively.
- Take the lead in executing planned outreach strategies to raise awareness about the GWEP program among healthcare providers, community leaders, and older adults in targeted areas.
- Facilitate partnerships with local agencies, nursing homes, assisted living, and other community centers that provide opportunities for collaboration in enhancing geriatric care services.
- Take the lead in organizing outreach events, workshops, and educational sessions as needed to engage stakeholders, provide information about available resources, and promote the adoption of best practices in geriatric care at GWEP sites of care delivery.
- Liaise as needed between grant administration team members among various institutional departments.
- Other duties as assigned by the Project Director.

- Organizational skills such as ability to manage time and multiple tasks, prioritize effectively, and maintaining accuracy. Ability to adhere to deadlines and schedules.
- Excellent written and verbal communication skills needed for engaging with students, faculty, staff, and external partners. Proficiency in writing reports, emails, and assisting with creation of promotional materials.
- Strong interpersonal skills and customer services orientation.
- Ability to plan, coordinate, and execute events such as workshops and information sessions.
- Basic knowledge of marketing techniques and strategies for outreach and engagement.
- A creative spirit and willingness to learn new things.

- Technologies
- Proficient in Google Apps., Microsoft Office, Word, and Excel, PowerPoint, Outlook. Familiarity with database management and record keeping systems. Experience with social media platforms and digital marketing tools.
Compensation
- Grade 7: $19.49 to $22.41 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.
