Academic Records Specialist - Office of the Registrar

The Academic Records Specialist is responsible for managing degree audits and academic progress counseling for an assigned distribution of the undergraduate, professional and graduate population. In addition to maintaining accurate academic records and upholding academic policy consistent with university standards, this position regularly interacts with this population to proactively assist students and resolve any issues related to degree completion and academic clearance for commencement.
Required Education
- Bachelor’s degree or equivalent experience and education.
Required Experience
- Three to five years business experience, preferably in higher education.
Primary Duties/Essential Functions
- Provides customer service in multiple modes (face-to-face, phone, and email) within the Academic Services area to explain academic policies related to program requirements, general education requirements, registration, grading, and graduation. This position serves students, faculty, staff, alumni, parents, and visitors to APU.
- Evaluates and determines whether degree requirements have been met. Analyzes degree requirements, minimum GPA, completion of service credit hours and departmental requirements. Accumulates and records final information regarding graduation for undergraduate, professional and graduate students.
- Posts degrees after all graduation requirements are met.
- Evaluates, determines, and communicates graduation status for each commencement ceremony to students.
- Maintains accurate academic files of enrolled students. In addition, records pertinent details from conversations with students that may affect degree completion.
- Communicates with the assigned student client base to proactively keep them informed of any policy or procedural change that might influence their degree.
- Meets as needed, with faculty and staff to clarify academic and registrar policies applicable to their area of oversight.
- May participates on academic department curriculum committees
- Maintains contact with the students after graduation to assist them with finishing degree and university requirements as needed.
- Provides information on transfer equivalencies, transfer inquiry, and policies governing transfer credit.
- Works with students, academic departments, and the financial aid team in verifying eligible courses for Title IV eligibility.
- Assists academic departments and students with course code permission issues and faculty with grading questions.
- Assists students during add/drop, and registration with course enrollment questions.
- Collects and processes various academic forms related to academic policies and requests.
- Maintains and adheres to all FERPA regulations, federal, state and institutional guidelines and standards, complying with all federal, state and institutional regulations.
- Registrar staff will be required to work both Spring and Winter Commencement each calendar year.
- Performs other tasks as assigned by the Associate Director of Student Academic Records, or the Director of Student Academic Records.

Technologies

Proficient in Google Apps., Microsoft Office, Word, and Excel. Preferred experience with PeopleSoft.
Compensation
- Grade 8: $21.44 to $24.66 is the annual salary for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.
