This person will serve as the Department Coordinator for the Undergraduate School of Theology. The individual’s work with UG SOT will involve interaction with faculty, undergraduate students, and alumni served by the broader School of Theology.
The candidate must be in agreement with the purpose and mission of Azusa Pacific University in providing a Christian-based higher education for its students and a Christ-based work environment for faculty, staff, students, and external partners.
This is a full-time, 32 hour per week position.
Required Education
- Bachelor’s degree required. Applicants who do not meet the educational requirement of a Bachelor’s degree may substitute significant work experience in administration.
Required Experience
- Two to four years of administrative support experience, preferably in an institution of higher education or a large ministry setting.
Primary Duties/Essential Functions
- Works collaboratively with four program directors including scheduling, communication, and other administrative functions.
- Coordination, administration, and management of currently 15.5 full-time professors and 10 adjuncts.
- Manage UG Departments adjunct application process via Silkroad and coordinate and process paperwork, interviews, and hiring process.
- Coordinate and supervise class scheduling each semester for all undergraduate programs.
- Performs general administration duties and offers support for all events put on by UG SOT including the SOT Faculty/Staff Kickoff, Senior Awards Event, church/alumni relations, etc.
- Provides oversight in the day-to-day operations of the UG SOT.
- Directly reports to the Associate Dean of SOT.
- Independently represents the UG SOT with discernment and tact to internal and external constituencies through phone, electronic, and face-to-face communications.
- Create and manage UG SOT websites and various social media pages.
- Input and manage the School of Theology’s shared documents on Google Docs.
- Coordinate and supervise student advising and reconcile student files.
- Design flyers/announcements/emails for marketing new classes and advertising departments or department-sponsored events.
- Monitors and updates systems to fully digitize all UG SOT records, including budget, personnel, correspondence, meeting agendas and minutes, etc., ensuring compliance with University and School records policies.
- Demonstrates strong organizational skills in a fast-paced environment, providing proactive, resourceful, and efficient responses. Assesses the urgency and importance of situations and acts accordingly.
- Organize and process petitions, major and minor updates, independent studies, incomplete requests, graduate classes taken by undergraduates, and Graduation Applications received for Departments
- Demonstrates expert written and verbal communication skills, strong decision-making ability, and attention to detail.
- Performs other duties related to job description as requested by the supervisor.
- Coordinate all office supply and work orders for the UG Department.
- Oversee the hiring process and compensation of TAs/RAs by department faculty.
- Coordinate and oversee Gerald Wilson Scholarship Award, and Cheryl Crawford Memorial Endowment Scholarship Award.
Skills
- Proficiency in Google Workspace Apps and Microsoft Office products, including Word/Excel/Power Point.
- Ability to work under pressure, exuding a mature demeanor while multi-tasking in a deadline-oriented. environment with accuracy and consistency.
- Proficiency with web design and management as well as social media applications.
- Ability to learn and implement procedures.
- Strong oral and written communication abilities.
- Excellent organizational skills.
- Must be collaborative and an effective team member and team builder.
- Ability to collect, analyze, disseminate, and retain information.

- Photography and Video Editing preferred (Adobe suite).
Compensation
Grade 7: $19.49 to $22.41 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.
