Position Description
The Marketing Communications and Events Specialist role is responsible for the planning, management, and execution of all ACIST (CV) division company meetings and events, including national and regional tradeshows, internal company meetings and physician education programs. This role works cross-functionally with the product marketing team, the U.S. sales team and other key internal stakeholders to generate maximum value for each of the programs, ensuring that each event builds brand awareness, strengthens customer relationships and is aligned with the strategic goals and objectives of the company. In collaboration with the Digital Marketing Manager, this role is responsible for ensuring the tactical social media plan is in alignment with CV’s strategic goals and objectives. The role oversees the execution of social media implementation plan and posts, and also maintains the “Events” page on the ACIST Website.
Primary Duties & Responsibilities:
External Meeting and Event Management – U.S. (40% of time)
Serves as the project lead in the planning and tactical execution of all U.S. national and regional tradeshows including:
- Create and manage the national tradeshow calendar to accurately identify dates, locations, and cross-functional collaboration on the marketing strategy
- Develops and manages the budget for U.S. tradeshows; budget forecast, cost estimates, expenditure tracking and reporting to ensure maximum ROI per event
- Manages on-site exhibit logistics including pre-show registrations, layout, product demo needs and placement, messaging, signage, AV requirements and show services.
- Organizes ACIST personnel exhibit staffing, rooming, and badge requirements
- Manages and organizes any event ancillary meetings including customer dinners, symposia and formal outings as needed, following the company compliance standards.
- Pre-conference internal communications and department cross-collaboration regarding timelines, objectives, messaging, schedule of events and key deadlines.
- Onsite logistics such as set-up, customer meeting room requests, pre-con meeting planning and tear down.
- Tracks leads, ROI and other metrics, providing analysis and reporting on events and tradeshows, identifying opportunities for improvement and development.
- Post-meeting follow-up conference debrief, including lead distribution to the responsible sales personnel and meeting summary.
- Manages, maintains and recommends continuous improvements for all booth properties and convention assets.
- Responsible for maintaining inventory supplies for tradeshows, coordinating shipping and receiving and maintaining organization of tradeshow storage
- Evaluates competitive and industry trends and proposes new strategic initiatives and streamlines event management, registration, lead capture and other processes.
- Conform with ACIST’s Code of Conduct and all local Compliance Standards
ACIST Internal Event Management – U.S. (40% of time)
Project lead in the planning, organization, budgeting and execution of all internal ACIST meetings in collaboration with Sales Leadership including:
- The U.S. National Sales Meeting
- The CV Annual U.S. Sales Incentive trip
- Organizes the logistics for VIP customer visits to Bracco Medical Technologies Company Headquarters including travel, hotel accommodations, dinners, and all other logistics for the CV division.
ACIST Physician Education Support – U.S. (10% of time)
- Organizes the logistics for physician attendees to ACIST-sponsored Physician Education Programs.
- Organizes the logistics for customer travel to and from the program including flights, hotel accommodations, dinner arrangements, and pre-and post-logistics communications to the attendees.
- Assists with online webinar physician education programs.
Marketing Communications Social Media Support (10% of time)
- Responsible for managing the ACIST social media calendar and developing posts in alignment with ACIST strategic marketing strategies and campaigns
- Follow the MarComm Review SOP process to ensure all social media posts are reviewed and approved.
- Work closely with Digital Marketing Manager and digital media partners to execute the ACIST social media strategy.

Qualifications (Knowledge, Skills & Abilities):
Minimum
- B.S. Communications, Marketing or 5+ years’ experience in marketing and trade show logistics and/ or event planning experience or a work history of coordination of complex schedules/activities with cross-functional teams.
- Experience in corporate meeting and event planning
- Well-developed interpersonal, written, and spoken communication skills
- Ability to work both independently and as part of a team
- Strong administrative skills
- Ability to prioritize and handle multiple projects concurrently with conflicting priorities
- High attention to detail and highly organized
- Must have a “can-do” attitude and be flexible and responsive in a fast-paced dynamic environment
- Ability to travel 30% of the time
Preferred:
- Working knowledge of Office Suite
- Working knowledge of Cvent
- Working knowledge of social media management (i.e.. LinkedIn, Instagram, Facebook, X, etc.)
- Experience working in a regulated environment, i.e., healthcare, medical device, or pharma preferred
