Position Summary:

The PA Program Coordinator coordinates several key aspects of the PA Program operations including accreditation, research, and program development support as well as a range of administrative activities.

The Coordinator reports to the PA Program Director and works closely with PA faculty, program staff, and the Assistant to the Provost for Health Programs.

 

Essential Functions: 

Demonstrate an attitude and behavior that reflects the values and mission of the department and University.

Support the PA program and its director by developing, maintaining, and growing effective management systems centered on the accreditation and continuous improvement objectives of the program as well as the specific educational and research needs of the program. 

  • Facilitate ongoing program accreditation activities such as helping to write self-study documents, participating in data analysis, evaluation and assessment activities; preparing for site visits; and completing required surveys ensuring all program operations are in compliance with accrediting bodies
  • Coordinate the program’s evaluation and assessment plan processes
  • Maintain a comprehensive database to support periodic and continuous program self-assessment and self-improvement for didactic and clinical training
  • In consultation with faculty directors, facilitate completion of specific required program accreditation activities

Provide general administrative support for PA program

  • Provide administrative support for various program activities including: faculty promotion, continuing education, professional development; student admissions, registration, and new student orientation
  • Collect and enter information for database and tracking system on program activities. Compile statistics and reports for program evaluation, compliance, and survey participation purposes.
  • Prepare, organize, and disseminate class or conference schedules, course descriptions, outlines, syllabus, handouts, and other similar materials through close coordination with faculty.
  • Coordinate meetings, events, and other functions as assigned
  • Support budget management in the university accounting system; generate budget summaries and related information for program leadership as needed
  • Assist in the design and preparation of drafts for marketing, public relations, and other informational materials, and follow through with assistance in editing; coordinate with Communications and Marketing to generate materials and web updates
  • Provide support to the director, search committee chairs, and search committee members to support faculty recruitment needs
  • Support administration of the faculty performance evaluation process
  • Participate in promotion of the program, such as recruitment fairs and professional conferences
  • Arrange and coordinate travel for department staff, faculty, and incoming guests and speakers
  • Identify opportunities for operational improvement and facilitate implementation

Research Coordination

  • Write nonscientific portions of grant proposals, contracts, subcontracts, and reports as appropriate
  • Coordinate all components of grant proposal development including packaging, approval routing, submissions, coordinating deadlines, follow ups, and status/progress reports

Program Development

  • Establish and maintain community partnerships for new or ongoing program initiatives
  • Assist in identifying, creating, maintaining, and coordinating opportunities for inter-professional education

Other duties as assigned.

 

Physical Requirements: 

  • Work is primarily indoors, but requires the incumbent to be in an outdoor environment when traveling between campus buildings or off campus
  • Standard office hours are 8:00 a.m. to 5:00 p.m.
  • Attendance at evening and weekend events is occasionally required
  • Off-campus travel may be required
  • Incumbent will be exposed to frequent noise caused by telephones and office machines

Work Conditions:

  • Must be able to bend, stoop, and reach.
  • Manual dexterity to efficiently operate a computer keyboard and other business machines

  • Adequate hearing to communicate effectively in person and by phone

 

Expected starting rate: Up to $17.78 hourly


Required Skills

  • Technical fluency including MS Office Suite and other commonly used software, applications, and technology
  • Familiarity with databases designed to collect and analyze information
  • Ability to work independently as well as part of a team
  • Strong organizational skills including attention to detail
  • Ability to work and effectively communicate with a diverse group of constituents including university officials, faculty, students, agencies, etc
  • Skill in conducting research
  • Ability to compile, manage, and interpret data
  • Knowledge of program finance including budgeting, accounting, and mathematical skills to support program fiscal operations
  • Ability to assess project management needs; research, select and outsource projects to appropriate parties
  • Demonstrated skill in writing; grant writing experience strongly preferred
  • Ability to maintain a positive attitude and outlook while prioritizing and multitasking under pressure amid deadlines
  • Ability to maintain discretion and confidentiality

Required Experience

A bachelor's degree is required.  A minimum of two years of directly related experience in academic program coordination and support including academic operations, departmental budgets, project coordination, office management, event planning support, student activities and/or related experience.

A suitable combination of education and experience may be substituted for minimum qualifications

University operating hours are Monday through Friday, 8am to 5pm. Some additinal weekend and evening hours may be required.
