Working with members of the Corporate Services Group, the individual in this position will be responsible for duties as Front Desk Receptionist and Switchboard Operator. This position involves significant interaction with all Morgan Stanley staff, as well as existing and prospective clients, consultants, and vendors.
Answering and directing all incoming calls, using a Avaya system with 8 incoming lines which serve the Firm's main number and a bank of over 500 in-house numbers with direct dial access. Retrieving messages from the firm's voicemail, and forwarding messages accordingly. Answering forwarded call lines as necessary: connecting the caller to an assistant or forwarding to voicemail.
Greeting and assisting vendors, visitors, and guests, documenting visitor information on the Visitor Log.
Recording and dispensing temporary security cards for employees,
Signing for incoming packages and letters if no one is in the Mailroom. Coordinating the scheduling, confirmations, catering, and maintenance of conference rooms, teleconference calls, and video conferences. Arranging for taxi and limousine services. Maintain front desk security, which may include approaching visitors, reporting, and alerting Security of solicitors.. Responding, tracking, and dispatching of department service calls and requests. Assisting with various administrative duties for the Corporate Services Group, including maintaining vehicle registration, bulletin boards, menus, department lists, reception lists, and accurate files; utilizing Word and Excel sheets.
Maintain interview candidate schedules.
Performing related duties and projects as assigned.
Hours Available: Monday-Friday 8am-5pm
